Job Description

Position : Executive Administrative Assistant

Working Hours : Monday to Friday 95PM EST

Working Setup : Full remote

About the job:

Our client is seeking an organized and proactive Executive Administrative Assistant to support our Executive Team and ensure the smooth operation of various administrative processes. The ideal candidate will excel in inbox and calendar management financial administration and contract management.

Duties and Responsibilities:

Inbox & Calendar Management:

  • Monitor and manage the inboxes and calendars of Executive Team members.
  • Schedule meetings and appointments with internal and external stakeholders.
  • Track and coordinate meetings with vendors and legal organizations such as law firms and consultancies.

Internal Onboarding & Offboarding:

  • Coordinate the onboarding process by sending emails and scheduling introduction meetings for new team members.
  • Provide access to necessary tech stack applications for new and departing employees.

Newsletter Management:

  • Subscribe and unsubscribe recipients in Mailchimp and/or Hubspot as needed.

Financial Administration:

  • Issue and pay invoices and prepare expense reports for the Executive Team.

Contract Management:

  • Maintain and organize the company’s contract repository ensuring all documents are uptodate and easily accessible.

Requirements:

  • At least 3 years of proven experience as an Executive Assistant Administrative Assistant or similar role with experience working remotely.
  • Fluent in English with excellent written and verbal communication skills.
  • Excellent computer skills including proficiency in MS365 products (Word Excel Outlook).
  • Ability to learn new skills and adapt to unfamiliar software products (e.g. Hubspot Strapi EventCreate).
  • Strong organizational skills with the ability to manage multiple projects simultaneously.
  • Ability to work independently meet deadlines and adapt to changing priorities in a remote environment.
  • Collaborative mindset with the ability to work effectively with a diverse team.
  • Keen attention to detail and strong problemsolving abilities.
