Job Description

Position : Executive Assistant
Working Hours : Monday to Friday 8am4pm Central Time
Salary Range :USD

Work Setup : Full Remote

About the job:

We are dedicated to providing highquality affordable training to professionals in government nonprofit case management and health and human services sectors. We’re looking for a proactive Executive Assistant to support in managing business and nonprofit operations. This role will focus on streamlining administrative tasks managing marketing efforts and providing operational support to free up time for strategic growth.

Duties and Responsibilities:

  • Administrative Support: Handle daytoday tasks including managing invoices renewals and subscriptions.
  • Website Management: Update and maintain the WordPress website to reflect current content and offerings.
  • Form Management: Oversee and manage the PaperForm online form service for seamless operations.
  • Email Marketing: Create schedule and track campaigns via MailChimp and Mail Poet to engage clients and prospects.
  • Expense Categorization: Use QuickBooks to categorize expenses accurately and assist with basic financial tracking.
  • Content Curation: Research and add new training resources to the library ensuring it remains relevant and valuable.
  • Marketing Support: Assist with marketing campaigns followups and sales activities to increase subscriptions and engagement.
  • Research: Identify new speakers and training opportunities aligned with Convene’s mission.
  • Data Analysis: Review analytics to identify trends opportunities and areas for improvement in training services.
  • Appointment Scheduling Calendar Management and Email Management: Help with appointment scheduling calendar management and email management which may include professional and personal appointments.

Qualifications:

  • At least 2 years in an administrative or executive assistant role.
  • Proficient with WordPress MailChimp QuickBooks PaperForm and Vimeo.
  • Excellent written and verbal English skills for professional communication.
  • Ability to manage multiple tasks prioritize effectively and meet deadlines.
  • Keen attention to detail for tasks like data entry content curation and financial tracking.
  • Capable of working independently and solving problems proactively.
  • Passion for supporting a missiondriven organization.
