Role Overview
We are seeking a highly organized and proactive Executive Assistant to act as the right hand to the CEO (based in the EU) and support coordination with production teams in China and Portugal. The role requires 90% focus on companyrelated tasks and 10% on personal support for the CEO.
As the Executive Assistant you will manage operational workflows oversee communication across teams ensure accurate documentation and provide crucial support in areas such as logistics finance and social media.
Key Responsibilities:
Operational Support
- Act as a liaison between the CEO and production teams leveraging platforms like ASANA and WeChat.
- Coordinate shipping documentation and ensure customers receive accurate and timely updates.
- Collaborate with production teams to manage and verify Bill of Materials (BOL) documentation.
- Monitor and send reminders to production for updates and deadlines.
Social Media & Content Management
- Help execute and ensure adherence to the social media strategy.
- Assist in maintaining and updating selling platforms to reflect accurate product listings and inventory.
File & Data Organization
- Standardize and maintain company files and naming conventions.
- Organize and update financial transactions using Xero accounting software.
Outsourcing & Content Development
- Oversee outsourcing projects on platforms like Upwork.
- Update and manage website content and newsletters.
- Leverage AI tools (e.g. RunwayML) for content creation such as transforming images into videos.
Preferred Qualifications
- Proven experience in a similar Executive Assistant or Operations role.
- Familiarity with tools like ASANA WeChat Xero and social media platforms.
- Strong organizational skills and attention to detail.
- Experience with AI tools for content creation is a plus.
- Excellent communication and coordination abilities.
