We are seeking a highly organized and detailoriented Admin Assistant with experience in ASIC Compliance to support our administrative functions remotely. This role requires an individual who can manage a wide range of administrative tasks while ensuring the organization remains compliant with Australian Securities and Investments Commission (ASIC) regulations. The ideal candidate will have strong administrative and communication skills proficiency in remote work tools and a solid understanding of compliance requirements related to ASIC.


Job Qualifications


Responsibilities:

General Administration Support:

  • Provide administrative support to senior management and various departments within the organization.

  • Prepare and proofread internal and external communications including emails letters and reports.

  • Support remote team coordination by organizing virtual meetings preparing agendas and taking minutes.

  • Organize and maintain files records and office documents ensuring confidentiality and proper filing systems.

ASIC Compliance Support:

  • Assist in ensuring the organization adheres to ASICs regulatory requirements and guidelines.

  • Help prepare and file statutory reports and documents required by ASIC.

  • Monitor key compliance deadlines (e.g. renewals filings reporting) and ensure timely submissions to ASIC.

  • Assist with the preparation of compliance documentation related to ASIC audits or inquiries.

  • Maintain records of all compliancerelated filings correspondence and related documents in accordance with ASIC requirements.

  • Liaise with internal departments and external stakeholders to gather necessary information for ASIC reporting.

  • Stay updated on changes to ASIC regulations and assist in implementing necessary procedural updates.

Data Entry & Reporting:

  • Accurately enter and maintain data in internal databases set up client jobs and save correspondence to the relevant files ensuring completeness and accuracy of records.

  • Assist in generating reports related to ASIC compliance and other business operations.

  • Support the preparation of reports for senior management on compliance status and key administrative metrics.

  • Preparation of CSV files for Xero subscriptions to upload to Xero.

Other Duties as Assigned:

  • Assist with the collation and sending of financial statements income tax returns activity statements and selfmanaged superannuation compliance via email and DocuSign

  • Handle confidential and sensitive information with discretion and integrity.


Requirements

Requirements:

  • Bachelors degree or relevant qualification in business administration office administration finance or a related field.

  • 2 years of experience in administrative roles preferably in a remote environment.

  • Experience with ASIC compliance requirements including statutory filings and reporting.

  • Knowledge of relevant Australian regulations including ASIC Regulatory Guides.

  • Familiarity with tools for managing compliance filing and reporting to ASIC is a plus.

  • Experience in using administrative tools like Microsoft Office 365 and other software such as Xero BGL CAS and DocuSign.



Minimum of 5 years Australian accounting and taxation experience Xero / MYOB Certified Experience in the preparation and review of financial statements and income tax returns for individuals, companies, and trusts Experience working with Australian SMEs Competent with computer operations as well as some specific applications, such as Xero, MYOB, Microsoft Word, Excel, outlook. Experience with relevant computer systems The person must be keen to learn and develop their computer competencies Particularly good in verbal and written English communication skills
