Job Description

LOOKING FOR FILIPINO CANDIDATES

Position : Executive Assistant

Work Hours (Client) : 10am to 7pm EST (with an hour break)

Holidays : PH holidays with 10 Days accrued PTO

Pay Range : $800$1000/month

Role Overview

The Executive Assistant (EA) will be an integral part of our dynamic leadership team providing highlevel administrative and organizational support to senior executives. This position requires a highly organized detailoriented professional with exceptional communication skills and the ability to manage a variety of tasks and projects with discretion and efficiency.

As the Executive Assistant you will work closely with executives to ensure smooth daily operations assist with decisionmaking processes and contribute to the overall effectiveness of the leadership team. The ideal candidate will be a selfstarter capable of managing multiple priorities in a fastpaced everchanging environment.

This is a role with significant potential for growth. As you become an essential part of the team there will be ample opportunities to take on increased responsibilities expand your skill set and even manage a team. You will have the opportunity to lead and mentor a team as our company continues to scale providing the chance to grow both professionally and in leadership.

Duties and Responsibilities:

The Executive Assistant will support the founders by handling 80% of daytoday operations allowing them to focus on strategic initiatives. The ideal candidate is detailoriented organized a good communicator and proactive with the ability to streamline processes and maintain high standards of professionalism.

Key Responsibilities:

  • Client Support: Provide excellent customer service by answering inquiries addressing basic questions and directing clients to appropriate resources.
  • Onboarding Coordination: Oversee the onboarding process document collection and ensuring compliance.
  • Document Management: Maintain and organize files using Google Drive and prepare documents for accountants or other stakeholders.
  • Financial Administration: Perform basic financial tasks such as calculating commissions and preparing relevant reports.
  • Scheduling and Communication: Manage the founders’ calendars coordinate meetings and handle email communications prioritizing key tasks.
  • Process Improvement: Develop and document workflows to optimize operations and support business scalability.
  • Research: Sourcing suppliers identifying potential clients and staying updated on industry trends and developments

Minimum Requirements:

  • With at least 1 3 years of proven experience in an executive or administrative assistant role
  • Must have strong Phone Communication Skills
  • Experience in fintech/payments/crypto industries is preferred but not required
  • Excellent organizational and time management skills with a strong attention to detail.
  • Proficiency in tools like Google Workspace (Drive Docs Sheets) and basic understanding of financial processes.
  • Strong communication skills both written and verbal.
  • Ability to work independently prioritize tasks and maintain confidentiality.
