Working Schedule: 10 AM 6 PM Eastern Time zone
Salary Range: $1000$1300 / Monthly (depending on interview assessment and client's approval)
ABOUT THE COMPANY:
We are a Wedding videography company based in Toronto Canada. Our clientele is mostly South Asian couples who are getting married in the Toronto region but we are now being approached by couples from the US and Mexico too. Our goal is to provide our couples not just beautiful wedding films but a seamless experience from them reaching out to us to the day we deliver their final video deliverables.
ABOUT THE ROLE:
The company runs a growing wedding videography company specializing in capturing life’s most memorable moments. With a packed schedule and increasing client demands the company is seeking an Executive Assistant to manage administrative tasks client relationships and team coordination. This role is vital to freeing up time for core videography work and ensuring the business operates smoothly during long booking periods.
RESPONSIBILITIES:
Administrative Support
- Manage email communications and correspondence.
- Oversee client onboarding and maintain CRM (Honeybook) for seamless operations.
- Organize calendars appointments and scheduling for videography projects.
Client Relationship Management
- Maintain consistent engagement with clients throughout the long lead times (up to one year) between booking and their wedding day.
- Help with their onboarding process on a Zoom/Google Meet call.
- Respond promptly to change requests inquiries and followups.
- Ensure a seamless client experience from onboarding to postevent delivery.
Team Coordination
- Schedule and coordinate team members for multiple videography events.
- Streamline communication with shooters and other collaborators to ensure preparedness for each event.
Content Creation
- Draft and distribute weekly newsletters to maintain client and audience engagement.
- Someone with experience on how to write blogs & run a weekly Newsletters is a bonus and is highly preferred. This would be a core part of their responsibilities.
- Update and manage blog content to reflect the latest company news and insights.
- Utilize AI tools to support content writing as needed.
Additional Tasks (Optional)
- Learn and assist with basic video editing tasks to support the postproduction process.
- Having knowhow of Notion is helpful (we use notion for project management.)
QUALIFICATIONS:
- At least 13 years of related experience
- Exceptional written and verbal English skills for professional communication.
- Strong customer service orientation with a focus on client satisfaction.
- Experience using any CRM tools preferably Honeybook.
- Skilled in content writing (using AI tools is acceptable).
- Familiarity with Notion is a PLUS.
DEVICE / CONNECTIVITY REQUIREMENTS:
- At least 50mbps internet speed
- Must have their own Permanent Work From Home Equipment like Laptop and Personal Computer with External Monitor.
