Job Description

This is a remote position.

The Executive istant is responsible for providing support in our operations by ensuring seamless communication efficient scheduling and meticulous data management. This position requires someone who is switched on detailoriented and capable of anticipating needs to streamline our workflows.
The candidate must have strong verbal and written communication ss effective interaction resourceful and able to find solutions independently anticipating challenges and proactively addressing them can be trusted to handle information maintain confidentiality and consistently deliver quality work.

PERFORMANCE OBJECTIVES:
Email Management:
  • Efficiently manage and organise incoming and outgoing emails.
  • Prioritise and respond to emails on behalf of the executive as needed.
Calendar Management:
  • Schedule and coordinate meetings appointments and events.
  • Ensure the executive s calendar is uptodate and conflicts are minimised.
Meeting Preparation and NoteTaking:
  • Prepare agendas and doents for internal meetings.
  • Take detailed meeting notes and distribute action items to relevant stakeholders.
System and Organisation:
  • Organise and maintain the system register to ensure all doentation is current and easily accessible.
  • Implement systems to improve doent management efficiency.
  • Doent management control and manipulation to ensure correct formatting
Other:
  • Online research and data collection
  • Management of travel bookings where required
  • Generation of reports weekly and monthly
  • AI integration
  • Event management and coordination
  • Creation shopify storefront and updates as required

Requirements

  • Previous experience working in a law firm.
  • Strong verbal and written communication ss.
  • Proficient in email and calendar management.
  • Sed in doent formatting organisation and management.
  • Ability to anticipate challenges and proactively address them.
  • Experience in meeting preparation notetaking and action item distribution.
  • Familiar with travel bookings report generation and event coordination.
  • Knowledge of Shopify and AI integration.
