JOB DESCRIPTION FOR VIRTUAL ASSISTANT
Your Responsibilities as a Virtual Assistant would be:
Manage Directors personal property portfolio:
Getting documents for Director s Broker and liaising with Property Managers.
Monitoring Williams Property inbox.
Filing documents for tax and preparing documents for Director s Accountant at EOFY.
Managing the Director s personal admin tasks.
Managing prioritizing and filtering personal and business emails for the Director.
Managing the Director s calendar.
Managing and executing projects assigned by the Director.
Managing team mailbox and delegating to relevant team members action folders.
Managing the office s main phone line and assigning calls to the person responsible.
Responding to clients to give updates on when Director can respond
Managing Xero: Reconciling sending invoices and pay runs for AU employees.
Following up emails and documents from clients conveyancers lenders solicitors and banks.
Managing stage due dates in CRM with Director to ensure the pipeline is moving and clients are being updated.
Assisting the Director in managing the team and improving team culture.
Filter between Director and the team and between Director and clients.
Qualifications as a Virtual Assistant:
Bachelors degree is preferred.
Excellent English communication skills both verbal and written.
Proven experience in the financial industry is preferred and an advantage.
Understanding financial terminology systems and processes is an advantage.
Detailoriented with exceptional accuracy in data management.
Excellent organizational and time management skills.
Proficiency in tools such as CRM MS Office etc.
Ability to handle sensitive financial information with integrity and discretion.
Proactive selfmotivated and capable of working efficiently and independently.
Must have a pleasant and bubbly personality.
Strong problem solving and multitasking abilities.
A desire to learn in the mortgage broker and financial industry.
