This is a remote position.


FullTime 40 Hours per week

PHP

Shift schedule will follow Darwin Australia TAS timezone


We re looking for a Remote Admin Assistant to support the operations of an Electrical Testing and Compliance Company in Australia. If you excel at multitasking and enjoy supporting essential business functions all while in a remote setup this could be the perfect opportunity for you!


About the Role:

As an Admin Assistant you will be responsible for a variety of administrative tasks including invoice preparation compliance tracking data management and report generation. You ll collaborate with technicians customer service teams and management to ensure that records are accurate and operations run efficiently. Working remotely you ll need to be proactive reliable and comfortable using digital tools to manage job details and client requirements.

Key Responsibilities:

Handle Invoicing and Discrepancy Resolution

  • Prepare and review invoices to ensure accuracy and compliance with job details.

  • Investigate and resolve any discrepancies by coordinating with field technicians and customer service teams.

  • Upload testing results and invoices to clientspecific portals promptly.

Maintain Compliance and Scheduling Records

  • Track and manage compliancerelated documents such as vehicle registrations licenses and technician inductions.

  • Keep schedules up to date for planned maintenance visits ensuring all necessary approvals and documentation are in place.

Manage Data Entry and Administrative Reports

  • Input organize and maintain accurate job details within the company s job management system (AroFlo).

  • Generate and review administrative reports to monitor team performance and ensure compliance standards are met.

Support Customer Service and Team Operations

  • Assist the customer service team with administrative tasks to ensure smooth daytoday operations.

  • Provide documentation support to help the team resolve inquiries efficiently.



Requirements

TechSavvy Administrator Comfortable working with Microsoft Office job management systems (AroFlo preferred) and client portals.


Clear Communicator Excellent verbal and written communication skills for collaborating with teams and clients.


Reliable and SelfMotivated Able to work independently in a remote environment while staying proactive and accountable.



Qualifications and Requirements:

  • Bachelor s degree or equivalent experience in Business Administration Office Management or a related field.

  • At least 2 years of administrative experience ideally in compliance maintenance or servicebased industries.

  • Technical proficiency in Microsoft Office Suite (Excel Word Outlook) and the ability to learn job management systems (e.g. AroFlo).

  • Ability to work remotely with a stable internet connection and backup systems.
