  • Fulltime Monday to Friday 8:30am5:30pm

Job Description

We are seeking a highly organized and proactive Executive Assistant to provide crucial support to key executives in our client s thriving business. This role offers a unique opportunity to work closely with leadership in a fastpaced multiindustry environment. You will be responsible for managing communications coordinating schedules and handling a variety of administrative tasks that are essential to the smooth operation of the business. This position is ideal for someone who excels at multitasking has a keen eye for detail and enjoys working in a dynamic setting where no two days are the same. Responsibilities

  • Manage and prioritize executives emails drafting responses and ensuring timely communication
  • Coordinate complex calendars schedule meetings and manage travel arrangements when necessary
  • Review and proofread important documents ensuring accuracy and professionalism
  • Assist with tasks in HubSpot contributing to efficient customer relationship management
  • Prepare and organize materials for meetings presentations and other executive engagements
  • Act as a liaison between executives and internal/external stakeholders maintaining professional relationships
  • Manage and track important projects and deadlines ensuring executives are wellprepared for all commitments
  • Assist in organizing and maintaining digital and physical filing systems for easy information retrieval
  • Support the planning and execution of company events or client meetings as needed
  • Continuously seek ways to improve processes and increase efficiency in executive operations


Requirements

  • Exceptional written and verbal communication skills in English
  • Proven experience in email management calendar scheduling and general administrative support
  • Strong attention to detail and ability to proofread documents with high accuracy
  • Proficiency in Microsoft Office Suite and Google Workspace
  • Basic knowledge of HubSpot or willingness to quickly learn and master new software tools
  • Excellent organizational and time management skills with the ability to prioritize tasks effectively
  • Discretion and ability to handle confidential information with utmost professionalism
  • Proactive problemsolving skills and ability to anticipate needs before they arise
  • Flexibility to adapt to changing priorities and handle multiple tasks simultaneously
  • Bachelor s degree in Business Administration Communications or a related field preferred
  • Previous experience as an Executive Assistant or in a similar role is a plus
  • Familiarity with the event film or construction industries is beneficial but not required
