SUMMARY
We are seeking a highly organized and proactive Virtual Assistant to support our operations and administrative functions. The ideal candidate will be a selfstarter with exceptional attention to detail strong communication skills and the ability to manage multiple tasks efficiently. This role requires expertise in tools like ClickUp and QuickBooks as well as the ability to handle recurring and irregular tasks with precision.
JOB RESPONSIBILITIES
- Take ownership of all ClickUp recurring tasks ensuring they are completed accurately and on time.
- Maintain and update projects and tasks tracking in ClickUp to ensure everything is up to date and organized.
- Follow up with internal and external stakeholders to ensure delegated tasks questions or vendorrelated items are completed on time and accurately.
- Perform and oversee assigned tasks to guarantee their proper execution.
- Manage daily weekly and monthly accounting tasks including checking bank account balances matching transactions cashing checks handling invoicing reconciling accounts and producing financial reports.
- Conduct financial analysis including managing projections and budgets.
- Oversee collections by sending statements to overdue accounts and emailing or calling to resolve outstanding collection issues.
- Perform cost audits such as conducting quarterly cloud user audits and identifying and implementing costsaving efforts.
- Create proposals and estimates by following instructions to prepare customer estimates and following up on outstanding estimates.
- Interface with tax preparation teams to produce required reports.
- Set up new customer accounts as needed.
- Address escalated collection issues as they arise.
- Assist with recruiting efforts by conducting resume screenings using a standardized process.
- Handle and direct all virtual mail efficiently.
- Perform various research tasks as needed to support the team.
QUALIFICATIONS
- Minimum 5 years of experience as a Virtual Assistant Executive Assistant or in a similar role.
- Proficiency in using ClickUp for task and project management.
- Strong knowledge of QuickBooks for accounting and financial tasks.
- Excellent organizational and timemanagement skills.
- Ability to follow up effectively with internal and external stakeholders.
- Strong attention to detail and accuracy in handling financial and administrative tasks.
- Experience with HR tasks such as resume screening are a plus.
- Exceptional communication skills both written and verbal.
- Selfdriven and capable of working independently in a virtual environment.
- Ability to manage multiple priorities and meet deadlines.
