Job Title: Virtual Assistant (Mental Health & Performance Practice)

Working Hours: 9AM to 5PM Mountain Time Monday through Friday

Salary Range: $/month

Holiday: Aligned with company holidays

Sourcing location: Philippines

We are seeking a detailoriented and proactive Virtual Assistant to support our daytoday administrative operations and special projects.

Role Overview:
As a Virtual Assistant you will play a key role in ensuring the smooth operation of our practice by handling HIPAAcompliant administrative tasks client communications and projectbased initiatives. This role is ideal for someone who thrives in a structured highperforming environment and is committed to confidentiality and efficiency.

Key Responsibilities:

  • Manage inbound and outbound phone calls emails and text messages in a professional and timely manner.
  • Maintain HIPAA compliance in all communications and administrative tasks.
  • Create and manage superbills for client billing.
  • Oversee scheduling and calendar management.
  • Organize and monitor electronic documents and client records securely.
  • Assist with content development newsletters and marketing initiatives.
  • Support special projects to enhance client engagement and outreach.
  • Perform other administrative tasks as needed to support business operations.

Qualifications & Skills:

  • Proven experience in an administrative or virtual assistant role preferably in a healthcare or mental health setting.
  • Strong understanding of HIPAA compliance and patient confidentiality.
  • Excellent communication skills (written and verbal) with a professional demeanor.
  • Highly organized with strong attention to detail.
  • Proficiency in Microsoft Office Google Suite and other relevant digital tools.
  • Experience using an Electronic Health Records system (eg. Simple Practice Theranest Kareo) a plus.
  • Experience using Artificial Intelligence Assets (eg. Claude.ai ChatGPT NotebookLM Beautiful.ai) a plus.
  • Ability to multitask prioritize and work independently.
  • Experience with content creation marketing or newsletters is a plus.
