Job Summary:
We are looking for a talented Administrative Assistant to join our Legal Department and assist with various administrative duties. The ideal candidate will be essential in maintaining the departments smooth operation by managing administrative tasks effectively and professionally.
Key Functions /Duties and Responsibilities:
Administrative Tasks:
- Prepare and compose internal and external communications including memos reports emails and business correspondence.
- Manage receipts for various purposes.
- Execute daytoday operations and specific tasks within a dynamic environment.
- Manage officerelated administrative duties such as document filing scheduling meetings and handling correspondence.
- Oversee the procurement of office supplies and propertyrelated necessities.
- Handle budget monitoring and facilitate billings and payments to service providers.
- Handle scheduling and meeting coordination:
- Plan organize and coordinate logistical requirements for meetings events and activities with internal and external contacts.
- Manage appointment scheduling and monitor the departmental calendar.
- Maintain the office calendar coordinate meetings and arrange video conferences to optimize workflow.
- Collaborate with internal and external stakeholders as required.
- Office supplies management:
- Regularly request office supplies in line with budget allocations.
- Anticipate required supplies and ensure adequate stock levels to meet anticipated consumption.
Document Management:
- Maintain uptodate and accurate records for reference.
- Organize and manage incoming and outgoing documents for easy accessibility.
- Log and track correspondence for monitoring purposes.
- Ensure timely filing and maintenance of departmental records.
Qualifications:
- Any bachelors degree.
- Proven experience as an administrative assistant or in a similar role.
