Job Summary
We are seeking a highly organized and bilingual (French and English) Executive Personal Assistant to provide comprehensive support to the senior leadership team. This role involves not only administrative duties but also participation in various aspects of the business including but not limited to Accounting HR IT Internal Communications and Marketing. The ideal candidate will be proactive discreet and capable of working in a fastpaced environment with evolving priorities. Fluency in both French and English is essential.
Key Responsibilities
- Administrative Support: Provide comprehensive administrative assistance including managing daytoday operations such as organizing files handling correspondence and maintaining records. Coordinate with internal teams and external contacts to ensure efficient communication and task management. Assist with document preparation filing data entry and general office support to ensure smooth functioning of the executives’ workflow.
- CrossFunctional Involvement: Assist in Accounting (basic bookkeeping expense management) Human Resources (recruitment support onboarding and policy documentation) IT (coordinate with the IT team for troubleshooting and software needs) Internal Communications (employee communications and updates) Marketing and Branding (assist in branding initiatives and event planning).
- Confidentiality: Handle sensitive information with the highest level of discretion.
- Special Projects: Support the executive with adhoc projects whether they involve research project management or supporting other departments to ensure business goals are met.
Qualifications
- Languages: Fluent in both French and English (written and spoken).
Proficiency in Spanish is a plus.
- Experience: Experience as an Executive Assistant Personal Assistant or similar role supporting senior leadership.
- Education: Bachelor's degree in Business Administration Accounting Communications or a related field.
- Accounting Knowledge: Experience with basic accounting and bookkeeping tasks such as expense reporting invoice processing and reconciliation.
- Technical Skills: Proficient in computer use including the Microsoft Office Suite (Word Excel PowerPoint Outlook). Ability to quickly learn and use new software or tools as required.
- Communication: Strong verbal and written communication skills with attention to detail and the ability to draft professional documents in both French and English.
- Organization: Excellent multitasking and time management skills able to prioritize competing tasks in a fastpaced environment.
- ProblemSolving: Ability to anticipate needs solve problems quickly and work proactively with minimal supervision.
- Confidentiality: Proven ability to handle confidential information with discretion.
