Role Name: Admin Assistant / Receptionist

Schedule:

  • Parttime Tuesday to Saturday 9 AM to 1 PM (10 PM to 2 AM PHT)

Client Timezone: Eastern Time (Ontario Canada)

Job Description

As an Admin Assistant / Receptionist you ll be the first point of contact for this prestigious spa s clientele. You ll manage a dynamic fastpaced environment juggling multiple responsibilities across two bustling locations. This role offers a unique opportunity to blend customer service excellence with administrative prowess all while working remotely. You ll be instrumental in ensuring smooth operations enhancing client experiences and contributing to the spa s continued success.

Responsibilities

  • Answer incoming calls and respond to client messages promptly and professionally
  • Manage and optimize appointment scheduling across multiple spa locations
  • Handle booking systems efficiently ensuring maximum utilization of spa resources
  • Follow up with clients to secure necessary information including payment details
  • Perform essential clerical duties to support overall business operations
  • Maintain a warm welcoming demeanor in all client interactions
  • Adapt to and learn new software systems as needed

Requirements

  • Exceptional verbal and written communication skills
  • Meticulous attention to detail and ability to multitask effectively
  • Professional friendly and patient demeanor even in highpressure situations
  • Comfort with technology and aptitude for learning new software systems quickly
  • Ability to work parttime 20 hours per week Tuesday to Saturday
  • Experience in customer service or hospitality industry preferred
  • Comfortable handling sensitive information with discretion and confidentiality
  • Ability to work independently and take initiative in a remote setting
