This is a remote position.
Executive Support:
Manage and maintain executive calendars scheduling meetings and coordinating travel plans.
Prepare review and refine presentations reports and other documentation.
Serve as a liaison between executives and internal/external stakeholders.
Administrative Operations:
Handle daytoday administrative tasks including expense reporting and correspondence management.
Ensure all files records and documentation are organised and accessible.
Coordinate team meetings preparing agendas minutes and followups.
Communication Management:
Screen and prioritise emails calls and messages for the executive team.
Draft professional correspondence and communicate on behalf of the executives when required.
Foster effective communication across teams and departments.
Project Coordination:
Assist in planning and tracking progress on company initiatives and strategic projects.
Conduct research to provide insights and recommendations on various tasks.
Ensure deadlines are met and deliverables are achieved efficiently.
Confidentiality and Discretion:
Requirements
Strong communication skills (written and verbal).
At least 3 years of experience in executive or virtual assistant roles.
Proficiency in tools like Pipedrive Calendly and task management platforms (e.g. Asana Trello).
Exceptional organisational and time management abilities.
Experience with CRM systems and familiarity with AI or automation tools is a plus.
