IMPORTANT: You must have experience in high volume capacity and fast pacing environment.
Reporting to the Director and working with direction from the team you will be a selfstarting highly organized and experienced Virtual Assistant.
Candidates must have an incredible eye for detail and be efficient with data entry you will have great Excel and PowerPoint skills and understand the importance of quality assurance within your role.
Administration & Support
You will be responsible for the following:
Overview of work to be completed:
Daily management of client reporting/clippings in both Excel and PowerPoint formats
Detailed instructions of what is to be completed
Checking media monitors and updating reports daily including media social coverage e.g. 7News Facebook News.com.au X Mamamia Instagram etc.
Manually adding all details to reports including date of coverage outlet headline product featured ad value/pr value reach etc.
Clipping all coverage into PowerPoint document
Sorting coverage into relevant campaign sections within the report
Downloading/renaming/saving media files to DropBox folders.
Finalization of endofmonth reports including overall monthly statistics e.g. ROI total clips etc.
Additional Support (as needed)
Serve as the central point of contact for communications to the Managing Partner
CRM management data entry sales pipeline management
Updating contacts on the CRM (Scoro)
Manage multiple calendars emails calls and meetings
Collection of databases on the website
Updating File notes
Proposal and Document preparation from templates
Encode and update matter details in the client s file management system
Draft various emails and letters using client templates
Update terms and conditions of contracts
Other General administrative duties
o Microsoft Office (Word Excel and PowerPoint)
o CRM
