Job Description

Position : Sales Support Specialist

Working Hours : Monday to Friday 9am 6pm EST

Work Setup : Remote

Salary Range : $1300 $2000 USD per month

Mission

The mission of the Sales Support Specialist is to enhance the productivity and effectiveness of the Sales Manager by providing comprehensive administrative and operational support. This role is crucial in ensuring that the Sales Manager can focus on highimpact activities while the Sales Support Specialist manages the daytoday tasks that keep the sales department running smoothly. Through meticulous management of client communications sales doentation CRM data and process improvements the Sales Support Specialist will play a vital role in driving a minimum of a 25.4% increase in sales annually.

Outcomes

1. Inbox and Communication Management:

Ensure the Sales Manager’s inbox is effectively managed with all critical emails prioritized responded to and followed up on within 12 hours contributing to improved client relationships.

2. Sales Doentation Accuracy:

Prepare review and finalize sales quotes contracts and other clientfacing doents with 100% accuracy ensuring timely delivery and enhancing client satisfaction.

3. CRM Data Management:

Maintain and update CRM data regularly ensuring that all client interactions leads and sales opportunities are accurately recorded and accessible. Achieve a 98% accuracy rate in CRM data entry to support effective sales strategies and the annual growth target.

4. Sales Pipeline Coordination:

Proactively track and monitor the sales pipeline ensuring that no leads or opportunities are overlooked. Maintain a comprehensive overview of the pipeline directly supporting the Sales Manager in achieving the 25.4% annual sales increase.

5. Process Improvement Implementation:

Identify at least two process improvement opportunities within the first six months leading to a measurable increase in team efficiency or a reduction in administrative workload thereby contributing to the overall sales growth target.

6. Conference Planning and Coordination:

Develop and maintain a yearly conference calendar.

Coordinate deliverables logistics and attendee arrangements.

Ensure ontime delivery of materials and seamless onsite .

Organize postevent debriefs and manage client followups.

Continuously optimize processes and manage event budgets effectively supporting lead generation and sales growth objectives aligned with the 25.4% increase target.

7. Support for Account Managers:

With spare capacity provide administrative and operational support to other Account Managers isting with tasks such as client communication CRM updates and sales doentation indirectly contributing to the overall sales increase goal.

1. Organizational Mastery:

Demonstrated ability to manage complex schedules prioritize multiple tasks and maintain high levels of organization in a fastpaced environment. This includes managing the Sales Manager’s calendar and coordinating meetings without conflict.

2. Attention to Detail:

Proven track record of producing errorfree work particularly in the preparation of sales doents and CRM data entry. The candidate must have an eye for detail ensuring that all client communications and doents are of the highest standard.

3. Proactive ProblemSolving:

Ability to anticipate needs and proactively address potential issues before they arise. This includes identifying process inefficiencies and suggesting improvements.

4. Strong Communication Ss:

Exceptional verbal and written communication ss with the ability to interact effectively with clients vendors and internal teams. Must be capable of managing client inquiries and concerns in a professional and timely manner.

5. Technical Proficiency:

Advanced ss in Microsoft Office Suite Google Workspace CRM systems (preferably HubSpot) and project management tools. The candidate should be comfortable learning new software and tools as needed.

6. Adaptability and Initiative:

A proactive and adaptable approach with the ability to thrive in a dynamic environment. The candidate must be able to work independently take initiative and drive tasks to completion without constant supervision.
