Job Overview:
We are seeking a skilled Order Processing Specialist to manage and track client orders using Pipedrive ensuring efficient order processing timely delivery and effective vendor coordination. The ideal candidate will have strong attention to detail excellent communication skills and a proactive approach to issue resolution. This role requires experience in data entry order management and customer service to support smooth operations and enhance vendor and customer relationships.
Key Responsibilities:
Order Management:
- Accurately enter and track all orders in Pipedrive monitoring each order’s status to ensure timely processing and delivery.
- Communicate regularly with vendors to confirm order details and delivery timelines proactively resolving any orderrelated issues or delays.
Vendor Communication & Issue Resolution:
- Act as the primary contact for vendors and internal teams regarding order details delivery schedules and any discrepancies.
- Resolve order issues in coordination with vendors ensuring they meet service standards and address any delays or errors promptly.
- Provide timely updates on order statuses to internal teams and clients via email and phone.
Data Entry & Documentation:
- Maintain accurate records of order status changes and resolutions in Pipedrive for future reference and reporting.
- Document communications monitor inhand dates and ensure all order details are uptodate and accessible.
Reporting & Process Improvement:
- Prepare regular reports on order statuses vendor performance and recurring issues.
- Collaborate with the team to enhance order management processes participate in training and adapt to evolving needs.
Requirements:
- Minimum 2 years of experience in order processing customer service or a similar role.
- Proficiency in Pipedrive or similar CRM/order management software; familiarity with Microsoft Excel Word Google Sheets and Google Docs.
- Excellent verbal and written communication skills in English.
- Ability to work fulltime during PST business hours.
- Reliable internet connection and a high level of adaptability in a fastpaced environment.
- Strong attention to detail accuracy in data entry and ability to prioritize tasks effectively.
