Job Description

Online Order Administrator for an Italian Deli

Location: Milnerton Cape Town
Employment Type: FullTime

Salary: R15 000 to R20 000 pm

About the Role:

A dynamic and growing business is looking for an organized and detailoriented Online Order Administrator to manage online orders efficiently from the warehouse. This role plays a key part in ensuring accurate order processing effective communication and timely fulfillment to uphold high customer service standards.

The ideal candidate will act as the main link between Customer Care and the Warehouse ensuring smooth order flow and resolving any challenges that arise.

Key Responsibilities:

Customer Communication & Support:

  • Review incoming online orders and update customers on delivery timelines.
  • Manage customer expectations and assist in scheduling orders.
  • Serve as the primary contact between Customer Care and the Warehouse to resolve orderrelated queries.
  • Respond to basic customer inquiries regarding order status and estimated delivery times.

Order Processing & Logistics:

  • Receive prioritise and process orders based on customer needs.
  • Oversee order picking and resolve stockrelated issues promptly.
  • Ensure couriers are scheduled and booked on time for deliveries.
  • Process and fulfill orders accurately in Shopify.

BackOrder Management:

  • Generate and manage backorders consulting with Customer Care when required.
  • Handle shortdelivered orders by:
    • Reprinting Shopify documents.
    • Highlighting pending items for followup delivery.
    • Releasing orders immediately once stock is replenished.

Skills & Qualifications:

Experience:

  • Minimum 2 years in order administration and warehouse operations.
  • Prior experience with ecommerce platforms like Shopify is essential.

Interpersonal & Communication Skills:

  • Strong verbal and written communication skills.
  • Ability to build strong relationships with customers and internal teams.

Organisational & ProblemSolving Skills:

  • Exceptional attention to detail and ability to multitask.
  • Ability to prioritise and resolve timesensitive stock and order issues.

Time Management:

  • Ability to work under pressure and meet deadlines.
  • Proactive in managing order delays and delivery schedules.

Adaptable and able to handle changing priorities efficiently.
