Be On Top of HighEnd Real Estate Client Journeys as a Client Success & Sales Coordinator


This is a remote position.


PartTime 20 Hours per week (with potential to expand)

Php

Monday Tuesday Thursday & Friday 5hrs each day Melbourne Time

About the Role:

As a Client Success & Sales Coordinator you ll design and manage a structured client engagement system ensuring every lead receives timely followups and personalized attention. You ll optimize workflows manage proposals handle client documentation and enhance the client journey from first contact to final handshake. Working alongside an influential real estate professional you ll play a key role in business growth client retention and operational success.

Establish a Strong and Efficient Client Engagement System (First 90 Days)

  • Develop an automated and structured followup process to ensure potential leads receive timely responses keeping engagement rates high.

  • Set up and manage a CRM system to track client interactions followups and deal progress with ease.

  • Create a hightouch conciergestyle experience that nurtures longterm client relationships and enhances satisfaction.

Convert the Client s Influence into a Thriving Lead Generation System (Ongoing)

  • Build a proactive referral and lead nurturing system that keeps clients engaged beyond the initial conversation.

  • Ensure that every client interaction leads to meaningful followups increasing conversion opportunities.

  • Implement a VIP client tier system to recognize and prioritize highvalue clients delivering exceptional service tailored to their needs.

Take Charge of ClientFacing Operations and Improve Efficiency (Within 6 Months)

  • Oversee the creation of proposals onboarding materials and client documentation ensuring consistency with brand standards.

  • Manage appointment confirmations client updates and postsale support helping to maintain a 95% client satisfaction rate.

  • Simplify internal workflows allowing the client to focus on relationshipbuilding while you ensure smooth execution behind the scenes.

Enhance the Client Journey and Elevate Service Quality (Ongoing)

  • Lead the optimization of client experiences ensuring a smooth stressfree and hightouch process at every stage.

  • Proactively refine systems tools and workflows to improve efficiency and enhance the perceived value of each service.

  • Serve as a trusted partner to the Client ensuring their customers receive an exceptional experience that fosters longterm loyalty.



Requirements

Qualifications and Requirements:

  • 5 years of experience in sales coordination client success or highend service operations (not entrylevel).

  • Proven track record in designing and managing structured client engagement systems and hightouch service strategies.

  • Experience with CRM systems sales automation and client retention strategies.

  • Strong organizational project management and problemsolving skills.

  • Luxury Market Experience (Preferred): Background in highend real estate luxury services or working with highnetworth clients is a strong advantage.
