Job Overview:
The RTO Admin & Enrolment Support role is critical to the efficient operation of the training department. This position provides administrative support to the department head and student engagement team while ensuring smooth and compliant management of student records progress tracking and enrolment processes.
Job Description:
- Student Progress & Completion Followup: Monitor and follow up on student progress and completion statuses to ensure timely course advancements and compliance with training regulations.
- AVETMISS eReporting: Prepare and submit accurate AVETMISS reports in line with government requirements ensuring data is accurate and uptodate.
- NSW Smart & Skilled Data Clarification: Coordinate and support the clarification of any discrepancies within NSW Smart & Skilled data working with relevant stakeholders to resolve issues.
- Administrative Support: Provide general administrative assistance to the department head and student engagement team supporting their daily operations.
- Travel Arrangements for Students: Organize logistics for students attending AFB (Away From Base) training blocks including bookings for transport accommodation and meals.
- Meeting Support: Prepare meeting agendas take minutes develop action plans and ensure followup on key actions discussed during meetings.
- Student Records Management: Maintain accurate student records within the Student Management System (SMS) ensuring all information is current and compliant with regulatory standards.
- Student Orientation: Coordinate and facilitate orientation sessions for new students ensuring they understand their course structure requirements and support available.
- Administrative Procedure Development: Assist in the creation implementation and ongoing maintenance of administrative processes to streamline operations and improve efficiency.
Requirements
- Experience with Student Management Systems (SMS) preferably eSkilled or similar like aXcelerate
- Basic knowledge of Learning Management Systems (LMS) preferably Moodle or similar
- Experience with Customer Relationship Management (CRM) systems preferably MS Dynamics 365
- Familiarity with the Training.gov.au (TGA) website
- Professional written communication skills
- Quality customer service skills
- Proficient in MS Office Suite (Word Excel PowerPoint Outlook OneNote)
- Proficient with MS Windows
- Strong organizational and multitasking abilities
- Experience with online meeting tools such as Zoom or MS Teams for virtual student support sessions
- Ability to work independently and as part of a team
