SUPPORT TO SALES DIRECTOR
- Provide assistance to the Sales Director in all areas of personal administration including preparation and editing of confidential correspondence reports documents meeting minutes presentations including typing from notes and writ ten documents.
- Provide assistance in the preparation and enhancement of power point presentations of key strategic presentations along with managing the Sales Directors diary scheduling of appointments and meetings.
- Coordinate travel and accommodation arrangements including flight details hotel bookings and itineraries for the Sales Director and accompanying local and international guests
- Liaise with all business functions with collaborative working relationship expected with other assistants and EAs.
- Process all related expenses and departments on behalf of the Sales Director along with adhoc sales reporting.
OFFICE SERVICES MANAGEMENT
- Support from time to time the front office Reception staff.
- Manage some office duties that involve the sales functions or key company events.
- Support the National Sales Team in relation to management of customer service stationery and business card ordering cleaning invoice processing and incoming and outgoing mail.
CONFERENCING EVENTS AND TRAINING
- Work with the Sales Director and leadership team to ensure the vision for annual meetings and events is delivered in a timely efficient and inspirational annual basis which include.
- Work (where required) with other business assistants to ensure full logistics of the event is successfully executed including all flights and accommodation conference facilities and internal communications.
- Work with the EA to the Managing Director to coordinate some ALT events and offsite meetings and training.
- Play a key role in the relationship with travel partner (and other partners that may arise) that deliver the required travel and indirect spending efficiency.
Qualifications :
- Roughly 3 years executive support experience or similar level
- Experience within an FMCG or similar multinational company in a similar position (strongly preferred)
- Excellent oral/written communication listening and organisational skills
- Professionalism and maturity to handle situations with confidentiality
- Advanced experience with Microsoft Office programs including Outlook Word PowerPoint and minute taking skills
- Some event management experience and budget management experience essential
- Confidence and credibility to act as a coach and mentor to organisation administrators
