We are looking for a motivated and organised Executive Assistant to support the Director of nine.com.au. The role involves handling administrative tasks coordinating schedules and assisting with daytoday operations. Key responsibilities:
- Provide proactive strategic support to the Director anticipating needs and identifying opportunities to enhance efficiency and effectiveness
- Act as a central liaison between the Director and all teams
- Manage the Directors calendar with foresight balancing demands and strategically planning ahead to ensure smooth operations
- Prepare documents and presentations with attention to detail and a focus on professionalism
- Coordinate events and meetings
- Oversee budgetrelated tasks with strong organisational skills ensuring efficient management
- Administer invoices and expenses promptly meeting all deadlines
- Coordinate travel arrangements and detailed itineraries
- Stay across all ongoing activities within the business acting as the goto person for information
- Promote effective collaboration between crossfunctional teams and offices
- Uphold confidentiality and maintain professionalism in all interactions and responsibilities
- Proactively maintain a log of commitments ensuring timely followups and strategic oversight of all key matters
- Identify and solve problems ensuring smooth office operations and continuously improving processes.
Qualifications :
What we would like to see on your resume:
- Proven experience as an Office Assistant Personal Assistant Executive Assistant or similar
- Exceptional interpersonal skills with a friendly and professional demeanour
- Ability to build and maintain strong internal and external relationships
- Mature and proactive approach with a strategic lens for identifying and addressing gaps and driving continuous improvement
- A gogetter attitude committed to supporting the Director
- Experience in office management event coordination and logistics
- Strong proficiency in collaboration and delegation ensuring efficient task management
- Exceptional organisational project management and problemsolving skills with the ability to multitask effectively
- Aptitude for thinking quickly and decisively under pressure
- Advanced skills in Google Suite will be advantageous.
