Operations Administrator HighEnd Custom Residential Construction
Work Schedule: Monday to Friday 9:00am 6:00pm Queensland Time with 1 hour unpaid lunch.

Position Overview
We re seeking a detailoriented Operations Administrator to manage project documentation cost tracking and operational systems. This role is vital to ensuring efficient operations from project inception to completion.
Key Responsibilities
Purchase Order & Material Management
- Create and manage purchase orders in Wonder Build ensuring alignment with budgets.
- Standardize and maintain PO templates including delivery instructions.
- Track PO status and ensure proper documentation is attached (plans quotes specifications).
- Coordinate supplier pricing and confirmations.
Project Documentation & System Management
- Implement and maintain systematic project documentation.
- Standardize document templates and job numbering systems.
- Manage Wonder Build updates and maintain operating procedures.
Financial Tracking & Budget Management
- Monitor project costs against budgets and track variations.
- Ensure accurate cost allocation and maintain financial records in Wonder Build.
- Reconcile POs with invoices and support costplus billing documentation.
Communication & Coordination
- Liaise with suppliers and coordinate delivery schedules.
- Ensure clear communication between office and field teams.
- Document site discussions and follow up on delivery logistics.
Success Metrics
- Timely completion of POs within 48 hours of estimation lockdown.
- Accurate and complete project documentation.
- Adherence to budgets and consistent use of standardized processes.
Requirements
Required Qualifications
- Experience in construction project administration or a similar role.
- Proficiency with project management software (Wonder Build preferred).
- Strong organizational skills and attention to detail.
- Experience with purchase order processing and cost tracking.
- Effective written and verbal communication skills.
Preferred Skills
- Familiarity with highend residential construction.
- Background in process improvement and standardization.
- Understanding of construction estimating principles.
