Job Description

Role Overview

The Founders Office Associate will serve as a key support to the Founder/CEO handling a mix of strategic operational and administrative tasks. This role combines the scope of both an office assistant and an executive assistant ensuring the Founder s priorities are met and the organization s objectives are achieved.

Key Responsibilities

Strategic and Operational Support

  • Assist the Founder in strategic decisionmaking by providing insights research and project management support.

  • Coordinate with multiple departments to ensure the seamless execution of initiatives.

  • Prepare agendas documents and reports for meetings; take and circulate minutes and follow up on actionable items.

  • Work on special projects and initiatives as assigned ensuring timely delivery of objectives.

Administrative Support

  • Manage the Founder s calendar scheduling appointments and organizing travel arrangements.

  • Act as the primary point of contact for internal and external communications addressed to the Founder.

  • Handle confidential correspondence and ensure the Founder s priorities are executed with discretion and efficiency.

Team and Project Coordination

  • Coordinate crossfunctional projects ensuring alignment with the Founder s vision and timelines.

  • Track progress update the Founder on key milestones and identify potential bottlenecks.

  • Facilitate internal communications to ensure smooth workflows and quick decisionmaking.

Office Management

  • Oversee daily office operations ensuring all administrative tasks are managed effectively.

  • Maintain organization of records files and essential documentation for the Founder.

  • Assist in managing events team offsites and other corporate engagements.



Requirements

Experience and Skills Required:

MustHave Skills

  • Proven experience in an assistant or operations role (1 3 years) supporting senior executives or founders.

  • Strong organizational skills with the ability to multitask and prioritize effectively.

  • Excellent verbal and written communication skills.

  • Proficiency in office tools such as Microsoft Office Google Suite and project management tools like Asana or Trello.

  • Ability to maintain confidentiality and exercise discretion.

  • Proactive problemsolving skills with a detailoriented mindset.

GoodtoHave Skills

  • Experience in marketing project management or startup environments.

  • Knowledge of CRM tools and office management systems.

  • An understanding of business operations branding or strategic initiatives.
