Senior Accounts and Operations Specialist


Work Schedule: Monday to Friday 9:00am to 6:00pm Thebarton South Australia Time Zone (6:30 AM to 3:30 PM Manila Time) with 1 hour unpaid lunch

About the Role
We are seeking an experienced Senior Accounts and Operations Specialist to manage financial processes and enhance operational efficiency. This role combines accounting expertise with a focus on optimizing systems and supporting business growth. The ideal candidate will bring precision innovation and stability to our operations enabling leadership to focus on strategic goals.

Key Responsibilities

Financial Management (40%)

  • Oversee accounts receivable/payable with 100% accuracy.
  • Process weekly payroll via Pay.com ensuring compliance.
  • Generate and send invoices within 24 hours of job completion.
  • Follow up on overdue payments and resolve discrepancies.
  • Provide weekly financial reports by Thursday/Friday.
  • Reconcile all accounts in Xero and ensure compliance with Australian accounting standards.

Operations & Systems Management (30%)

  • Maintain and optimize systems including Xero ServiceM8 and HubDoc.
  • Audit job notes to prepare accurate invoices.
  • Implement and manage job costing and profitability analysis.
  • Participate in daily team meetings for operational alignment.
  • Contribute to the companys knowledge base (Slite).
  • Manage VoIP systems for client communication.

Client Relations & Communication (20%)

  • Handle financial inquiries professionally resolving 90% of queries within 24 hours.
  • Support the handover of key client relationships to team members.
  • Maintain high standards in client interactions.

Process Improvement (10%)

  • Identify and implement financial process efficiencies.
  • Reduce invoice preparation time by 30%.
  • Streamline data flow between business systems.
  • Contribute to operational enhancements.

Success Measures (First 12 Months)

  • Achieve 100% financial record accuracy.
  • Reduce overdue invoices by 50% within 3 months.
  • Implement job costing system within 6 months.
  • Decrease data entry errors by 90%.
  • Generate monthly profitability reports for all completed jobs.


Requirements

  • Minimum 10 years of experience in accounts and operations ideally in servicebased or trade industries.
  • Advanced proficiency in Xero (5 years).
  • Experience with ServiceM8 HubDoc and Pay.com.
  • Demonstrated expertise in job costing systems.
  • Excellent communication skills with strong attention to detail and analytical abilities.
  • Clean background check (required for government/defense sector work).

Preferred Qualifications

  • Experience in construction or trade service industries.
  • Knowledge of Australian accounting standards.
  • Familiarity with VoIP systems (e.g. Bria) and knowledge platforms (e.g. Slite).
  • Advanced Excel and change management experience.
