JOB SUMMARY:
Plans oversees and implements the control and monitoring of all the functions of the Sales Acceptance and Document Management. This includes the following: Oversees all inventories on hold for booking conducts prebooking processes (Review Firm approval and NFIS) Booking of sale recording safekeeping and pull out of the Buyersupplied documents until it reaches the maximum retention period Administrative requests (supplies and other purchases) for purchase.
This role is also responsible of ensuring that the unit is continuously improving by creating or modifying processes and systems to support all Sales Acceptance and document management activities being done by the unit and training/mentoring the team to ensure performance targets and by training coaching and mentoring units team leads so they would be able to grow in their role.
KEY FUNCTIONS/DUTIES AND RESPONSIBILITIES:
1. Directs and controls the monitoring and tracking of all the deliverables of the Department most especially on the booking of sales and safekeeping of documents within the set quality standards and turnaround time.
2. Plans organizes prioritize and implements directions changes and improvements to achieve and support the objectives and responsibility of the unit.
3. Assesses and analyzes the Departments performance against the set of standards and objectives of Operations Division to be able to determine and improve the Departments effectiveness by identifying and anticipating problems and effecting remedial and preventive measures.
4. Analyzes makes judgments/decisions and solve problems within the Department to ensure the smooth flow of work and the attainment of commitments.
5. Motivates communicates listens delegates and leads to get action and results from subordinates in order to achieve the goals and objectives of the Department. Prepares adhoc reports in relation to the unit and manpower productivity.
