Job overview:

We are currently looking for an Executive Assistant to join our growing team. Someone who can organise others while managing multiple demands in a fastpaced environment.

To be considered for this position you will need a minimum of 3 years of experience working as an Executive Assistant.

Responsibilities:

As the Executive Assistant to the CEO you will play a critical role in providing toptier administrative support managing daily operations and ensuring the smooth functioning of the CEOs team. This position requires a proactive and detailoriented professional with a passion for administration and a proven ability to support Csuite executives effectively.

Your roles broken down:

  • Coordinate and manage the CEOs calendar scheduling meetings appointments and travel arrangements. Prioritize and resolve scheduling conflicts as they arise.
  • Handle all administrative tasks for the CEO including preparing correspondence reports and presentations. Manage email communications ensuring prompt responses and flagging important issues.
  • Oversee and manage other staff ensuring cohesive and efficient team operations. Delegate tasks and responsibilities to team members as necessary.
  • Assist in preparing and managing financial reports and budgets.
  • Draft and implement company policies and procedures. Ensure all policies and procedures are up to date and communicated effectively to relevant staff.
  • Organize and coordinate executive meetings including preparing agendas taking minutes and following up on action items. Ensure all meeting materials are prepared and distributed in a timely manner.
  • Take initiative in managing special projects as assigned by the CEO. Ensure projects are completed on time and within scope.
  • Proactively identify and address issues before they escalate. Provide innovative solutions to improve administrative processes and overall efficiency.
  • Foster a supportive and nurturing office environment. Be the goto person for administrative support and office management.

Key Performance Indicators (KPIs):

  • 95% of scheduled meetings and appointments are attended by the CEO on time. Zero missed meetings due to scheduling errors.
  • 100% of highpriority emails are responded to within 24 hours. Maintain an organized and updated email filing system.
  • Zero financial reporting errors. Monthly financial reports submitted on or before the deadline.
  • New policies drafted and implemented within the agreed time frame. Compliance with updated policies across the organization.
  • All executive meetings organized without logistical issues. Meeting agendas and minutes are distributed within 24 hours of meetings.
  • 100% of assigned projects completed within the designated time frame. Positive feedback from the CEO on project outcomes.
  • Positive performance reviews from managed staff. Effective delegation and completion of tasks by team members.

Qualifications:

  • Minimum of 3 years of experience as an Executive Assistant to a CEO or Csuite executive.
  • Exceptional organizational and timemanagement skills.
  • Strong financial acumen and experience with financial reporting.
  • Excellent written and verbal communication skills.
  • Proactive with the ability to think outside the box and solve problems independently.
  • Excellent skills in Microsoft Office Suite (Word Excel PowerPoint Outlook) and other relevant software.
  • Ability to manage confidential information with discretion.
  • A caretaker mentality with a love for administrative tasks and supporting others.
