Operations Executive

• Plan and coordinate sea freight shipments ensuring timely and accurate movement of goods.
  
• Schedule vessel bookings and coordinate with shipping lines and carriers to ensure space availability and timely departures.
  
• Determine the most efficient and costeffective routes for shipments considering transit times costs and customer requirements.
  

2. Documentation and Compliance

• Prepare and manage all necessary shipping documentation including bills of lading packing lists commercial invoices and certificates of origin.
  
• Ensure compliance with international and local regulations including customs requirements export/import regulations and safety standards.
  
• Coordinate with customs brokers and authorities to ensure smooth customs clearance processes for both exports and imports.
  

3. Customer Service

• Serve as the primary point of contact for clients providing updates on shipment status and addressing any concerns or issues.
  
• Handle customer inquiries and resolve operational issues such as delays damages or discrepancies in shipments.
  
• Gather feedback from clients to identify areas for improvement and implement solutions to enhance service quality.
  

4. Coordination and Collaboration

• Work closely with other departments including sales warehousing and finance to ensure seamless logistics operations.
  
• Manage relationships with shipping lines port authorities terminal operators and other thirdparty service providers.
  
• Coordinate with overseas agents and partners to ensure smooth handling of international shipments.
  

5. Inventory and Cost Management

• Monitor and manage inventory levels to ensure availability and timely dispatch of goods.
  
• Track and manage operational costs ensuring budget adherence and cost efficiency in logistics operations.
  

6. Performance Monitoring and Reporting

• Monitor key performance indicators (KPIs) related to sea freight operations such as ontime delivery rates shipment accuracy and cost performance.
  
• Prepare regular reports on operational performance providing insights and recommendations to senior management.
  

7. Process Improvement

• Analyze current operational processes and identify opportunities for improvement to enhance efficiency and reduce costs.
  
• Implement and leverage logistics management software and other technologies to streamline operations and improve accuracy.
  

8. Risk Management

• Identify potential risks in sea freight operations such as delays damages and compliance issues and develop mitigation strategies.
  
• Manage crises and unexpected events such as vessel delays port strikes or adverse weather conditions to minimize impact on operations.
  
  

Requirements

• Good communication in Vietnamese and English.
  
• Good understanding of Product Knowledge
  
• Should have good contacts at depot and vendors ( who sell containers)
  
• Report to the principals.
  
• Update inventory
  
• Punctual and sincere to work.
  
• SelfDriven and selfmotivated.
