Job Summary:
The Property Management Administration Professional PMA is responsible for supporting the Property Management team in the daytoday operations of a portfolio of properties. This includes (but not limited to) resident communications research data integrity tracking and monitoring of compliance items and litigation activities. The PMA assists Property Management with maintaining data sets reporting resident communication and a multitude of other administrative tasks required to ensure smooth operations.
Responsibilities:
- Ensure that Yardi and other databases of record are accurate and up to date including annual audits of all resident records.
- Processing of moveout tasks in Yardi & Drive.
- Respond to Resident concerns and requests for information as assigned.
- Prepare company approved notices to be posted at properties.
- Ensure tracking and completion of new Resident Manager training.
- Track triage monitor and assist in resolving Complaints and Notice of Violations with the Department of Building Inspections (DBI) to ensure timely abatement with guidance from RPM.
- Responsible for calculating negotiating and issuing resident rent credits.
- Assist with document preparation related to settlement conferences and other legal proceedings as needed.
- Assist with quarterly reporting requirements and monthly financial review process.
- Assist in preparation of lender required questionnaires and other reporting requirements.
- Coordinate property tours: Scheduling routes notifications inspections and access.
- Coordinate Town Hall Meetings and attend as needed.
- Maintain current certifications and Service Agreements at properties.
- Communicate with Regional Property Managers regarding operational issues proposals work orders Resident Managers etc.
- Process check requests and Resident Manager reimbursements.
- Other duties as assigned.
Requirements
- High school diploma or equivalent required; college degree preferred
- 24 years of experience of administrative or industry related experience required
- Proficient in Microsoft Word Excel PowerPoint Outlook Yardi Google Docs and Smartsheet
- Able to multitask and problem solve in fastpaced environment
- Wellorganized with great written communication skills
- Must have Fiber Optic internet with at least 25 mbps bandwidth
- Must have a backup desktop or laptop with the latest OS
