We re seeking a detailoriented Virtual Administrative Assistant to join our client s innovative team. In this role you ll be the backbone of administrative operations ensuring smooth daytoday functioning while supporting various aspects of project management and financial operations. Responsibilities
- Manage and organize email communications ensuring timely responses and proper filing
- Handle calendar management and scheduling coordination for team members and projects
- Process and track bill payments maintaining accurate financial records
- Create and manage invoices ensuring proper documentation and timely processing
- Implement and maintain project tracking systems to monitor progress across multiple initiatives
- Prepare detailed reports on various aspects of business operations
- Coordinate with team members to gather necessary information for documentation
- Maintain and organize digital filing systems for easy access to important documents
Requirements
- Proven experience with email management platforms (Gmail Outlook) and calendar scheduling tools
- Basic knowledge of QuickBooks or Xero
- Experience with project management tools (Trello Asana or similar platforms)
- Excellent written and verbal communication skills
- Strong attention to detail and ability to maintain high accuracy in all tasks
- Demonstrated ability to work independently and manage time effectively
- Quick learner with the ability to adapt to new software and systems
- Reliable internet connection and quiet home office setup
- Ability to work in Australian business hours
