Job Description

Our pharmaceutical client is seeking an Executive Assistant to the CEO who will also be highly focussed on communications and events coordination.
  • As an Executive Assistant to the CEO you are responsible for managing the daytoday administrative activities in support of this Global Senior Leader. The role applies strong administration and organization skills to provide support activities such as calendar management invoice & expense processing travel booking preparing correspondence and screening and evaluating email and correspondence.
  • The Executive Assistant to CEO exercises independent initiative and judgement in managing special projects on behalf of the CEO and Executive teams. This includes planning and following up on details regarding meetings conferences and international visitors from other global offices.
Communications & Events Coordinator:

This role will also support the CEO with various communications special projects marketing and event planning activities such as:
  • communications to employees external organizations and clients
  • newsletters reports powerpoint presentations & various other written correspondence
  • Social media posting monitoring & content creation potentially including clip video editing
  • Digitally savvy & creative knowledge of current apps tools & social media channels
  • Event planning for offsite meetings & town halls
  • Location scouting including strong knowledge of Greater Toronto Area restaurants hotels entertainment & social event locations etc.
  • Social and friendly able to professionally host VIP guests for meetings and business social events
  • Energetic positive and service centric meticulous white glove attention to detail

Who You Are
  • You can demonstrate at least 57 years of experience as an Executive Assistant supporting senior leaders in a highly professional confidential and fastpaced environment.
  • You’re a strong communicator with excellent verbal and written communications and interpersonal skills to interact with a wide range of individuals in a wide range of situations which usually requires tact diplomacy and discretion.
  • You are digitally proficient with internet and social media including various apps/tools and have a strong command of MS Office suite including Word Excel PowerPoint and Outlook.
  • Comfort with using AI tools such as ChatGBT Grok & others is an asset.
  • You know that details matter. You notice things that others do not. Your critical thinking skills help to inform your decision making.
