About the Role:
As a Luxury Travel Coordinator and Administrative Support Specialist you will handle all aspects of trip planning from researching and booking to coordinating logistics while managing administrative tasks that support the company s operations. Working within U.S. business hours you will support the team by organizing itineraries securing exclusive bookings and providing creative input for client proposals. You will work closely with both VIP clients and highend suppliers ensuring seamless luxurious experiences that align with the client s reputation for providing highend personalized services to discerning clients.

Key Responsibilities:
Get Acquainted with Tools Platforms and Company Standards
- Study the clients luxury travel standards including brand values and service protocols.
- Familiarize yourself with VIP client preferences and specific expectations for luxury travel experiences.
- Observe current workflows for trip coordination booking and communication to understand key operational practices.
- Master tools and platforms such as Travefy Mailchimp and Google Suite
Coordinate Luxury Travel Experiences
- Research and plan travel destinations and secure bookings for hotels flights restaurants and exclusive activities focusing on VIP service.
- Build custom itineraries using Travefy to design detailed organized itineraries that reflect the luxury brand s standards.
- Manage proposals and communications by creating visually appealing proposals reaching out to suppliers and ensuring clear timely client communication.
Provide Administrative and Organizational Support
- Manage calendars and oversee schedules for clients and team members ensuring bookings and appointments are accurately tracked.
- Organize and maintain folders for trip documents bookings and itineraries following company protocols.
- Contribute to the daily coordination of administrative tasks with minimal supervision.
- Provide creative input and support the development of marketing materials that align with the company s highend aesthetic.
Build and Maintain Relationships with VIP Clients and Suppliers
- Serve as a trusted point of contact for VIP clients managing their travel needs and preferences.
- Demonstrate the ability to create proposals and reach out to suppliers to secure bookings.
- Develop strong connections with key suppliers to secure exclusive experiences and preferred services and enhance the company s portfolio of exclusive travel offerings.
- Refine automated email processes to deliver a personalized efficient client experience.
Streamline Travel Coordination Processes
- Identify process improvements and look for ways to make research and booking processes faster and more efficient.
- Optimize trip coordination by continuously enhancing internal processes for a seamless travel coordination workflow.
- Ensure quality control by regularly reviewing documentation ensuring no errors and adhering to luxury standards.

Requirements
Bachelor s degree in business administration communications or a related field.
25 years of experience in customer support operations or luxury travel coordination.
Expertise in U.S. travel destinations and luxury travel experiences.
Highly organized and autonomous with a proven track record in managing multiple tasks.
Proficiency with Travefy Mailchimp Google Suite and WhatsApp.
