We are seeking a talented Personal Assistant to join our clients team.
ABOUT OUR CLIENT
Our client is a firm specializing in bespoke consultancy to HNWI ultraHNWI and family offices who are seeking to relocate invest or expand their businesses and personal wealth in a financially stable EU country and is located in Birkirkara.
DUTIES AND RESPONSIBILITIES
Administrative Support:
- Manage the partners schedule including arranging meetings appointments and travel plans.
- Prepare edit and review documents presentations and reports.
- Organize and maintain electronic and paper filing systems for confidential and critical business information.
Meeting Representation and Continuity:
- Attend meetings alongside the partner taking detailed minutes and identifying actionable items.
- Independently represent the partner in discussions with clients and leads ensuring alignment with the partner s objectives.
- Maintain continuity in project discussions following up with stakeholders and driving deliverables to completion.
Client Engagement:
- Act as the first point of contact for the clients handling inquiries and providing updates as needed.
- Develop and maintain strong professional relationships with clients and team members.
- Support deal negotiations by preparing briefs conducting followups and escalating key points to the partner.
Project Management:
- Oversee specific aspects of projects or deals delegated by the partner ensuring timely delivery.
- Identify challenges and risks in ongoing tasks proposing solutions proactively.
- Ensure clear communication between all involved parties relaying updates and progress to the partner.
EXPERIENCE KNOWLEDGE AND SKILLS
- At least 12 years of experience as a Personal Assistant Executive Assistant or a similar role.
- Proven experience handling confidential matters.
- Exceptional organizational and multitasking abilities.
- Strong written and verbal communication skills.
- Excellent interpersonal skills with the ability to engage and negotiate with clients.
- Advanced proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook).
- Professional demeanour and presentation.
- High level of discretion integrity and confidentiality.
- Strong analytical and problemsolving skills.
- Proactive and adaptable in dynamic environments.
EDUCATION
A Bachelor s degree.
WORKING TIME
Full time 40 hours per week Monday to Friday 09:00 till 18:00 with flexibility in starting time.
