In this administrative role the administrative assistant must have the ability to manage multiple tasks in a constantly changing environment while respecting tight deadlines.
- Provides administrative support to the supervisor and base manager team for the management of electronic documents employee files statistics and operational performance.
- Administers the returntowork process for Flight Attendants and Flight Directors following a longterm absence.
- Attends administrative disciplinary and local committee meetings to transcribe meeting minutes and notes.
- Writes edits and translates internal communications to ensure compliance standardization and employer brand.
- Acts as a resource person for crew members to direct them to the proper communication channels answer their questions and ensure a continuum of service.
- Receives screens and redistributes telephone calls emails and incoming/outgoing mail.
- Organizes and supplies to the work environment work tools and the online library for cabin crew members.
- Collaborates with various suppliers and partners (permit administration office parking office Montreal Airport etc.) and authorizes R.A.I.C. requests and staff parking access.
- Maintains and updates the departments intranet site improving its content and ensures the upkeep of various electronic equipment
- Ensures various office spaces are neat orderly and well organized.
Qualifications :
- One to two years experience in an office environment (unionized environment an asset)
- Organizational skills methodical and able to manage multiple files at once
- Attention to detail and ability to deliver on time
- Intermediate level of knowledge with MS Office software (Outlook Excel Teams etc.)
- Team player initiative and resourcefulness
- Bilingual (French and English) in both spoken and written form.
- Must be able to provide a high level of discretion with sensitive and confidential information.
- Must be able to obtain and maintain an airport restricted area identification card
- (requires a 5year history criminal background check and Canadian citizenship or permanent resident card)
*A good knowledge of French is required for positions in Quebec. The incumbent will be required to communicate and collaborate frequently in English both orally and in writing with colleagues customers and other stakeholders in Quebec the rest of Canada and internationally.
