Job Description

Job Summary: The Head of Operation is responsible for ensuring the efficient operation and maintenance of the physical infrastructure systems and equipment to provide a safe clean and functional environment for patients staff and visitors. This includes managing the hospital facility operations maintenance safety security and compliance with health safety and regulatory standards.

Key Responsibilities:

  1. Oversee the daytoday operations of the facility including maintenance of physical assets HVAC electrical systems plumbing elevators and other critical infrastructure.
  2. Ensure compliance with all local state and federal regulations related to healthcare facilities.
  3. Manage utility services and ensure efficient energy usage and waste management.
  4. Supervise and coordinate facility maintenance including routine inspections and emergency repairs.
  5. Ensure that the facility is in compliance with health and safety standards including those set by OSHA the Department of Health and other regulatory bodies.
  6. Develop and implement emergency preparedness plans including fire safety protocols and disaster response plans.
  7. Ensure that safety equipment (fire alarms sprinklers security systems) is maintained and functional.
  8. Develop and manage the annual budget for facilities operations including capital improvement projects.
  9. Monitor and control operational costs ensuring costeffective energy use supplies and service practices.
  10. Prepare reports and presentations related to facilities management for senior leadership.
  11. Supervise the facility management team including maintenance staff janitorial staff and contractors.
  12. Provide training and development opportunities to staff.
  13. Foster a collaborative and efficient work environment ensuring service levels meet or exceed hospital standards.
  14. Negotiate contracts with vendors and service providers (e.g. cleaning landscaping security).
  15. Manage relationships with external contractors for construction renovation or major repairs.
  16. Monitor vendor performance to ensure compliance with contract terms.
  17. Coordinate facility space planning and optimization for patient care staff workspaces and common areas.
  18. Oversee any remodelling or expansion projects in the facility ensuring minimal disruption to operations.
  19. Manage internal and external signage to meet regulatory requirements and patient needs.
  20. Promote green building practices and sustainability efforts to reduce environmental impacts such as energyefficient systems and waste reduction programs.
  21. Ensure compliance with sustainability certifications if applicable.


Requirements

Educational Qualifications:

  • A Bachelors degree in Facility Management Engineering Architecture Business Administration or a related field.
  • A Masters degree in Business Administration (MBA) Healthcare Administration or a related advanced field may be preferred in larger facilities or for seniorlevel positions.

Certifications or Licenses:

  • Certified Facility Manager (CFM) from the International Facility Management Association (IFMA).
  • Occupational Safety and Health Administration (OSHA) certification.
  • Knowledge of healthcarespecific regulations (e.g. The Joint Commission standards NFPA codes) is often required.
  • Fire Safety certification or other relevant certifications for emergency preparedness.


Experience:

  • A minimum of 57 years of experience in facility management with at least 3 years in a healthcare or hospital setting.
  • Proven experience in managing large teams and coordinating multiple projects simultaneously.
  • Experience in vendor management contract negotiation and facilities budgeting.
Experience in managing emergency response procedures and maintaining regulatory compliance in a healthcare setting.
