Position Overview:
We are looking for a proactive and organized Manager Assistant to support our management team. The Manager Assistant will play a critical role in ensuring the smooth operation of daily activities managing schedules handling communications and providing administrative support. The ideal candidate should be resourceful detailoriented and capable of maintaining a high level of professionalism.
Key Responsibilities:
Administrative Support:
- Manage and organize the managers calendar including scheduling meetings appointments and travel arrangements.
- Prepare and edit correspondence reports presentations and other documents as required.
- Maintain and organize files records and documentation.
Communication Management:
- Serve as the first point of contact for the manager screening calls emails and messages.
- Respond to inquiries and redirect them to the appropriate team members when necessary.
- Draft and distribute internal and external communications on behalf of the manager.
Meeting Coordination:
- Organize and prepare materials for meetings ensuring agendas and minutes are documented.
- Assist in coordinating with stakeholders to ensure timely and efficient meeting arrangements.
- Follow up on action items and ensure deadlines are met.
Task and Project Management:
- Support the manager in tracking and managing tasks priorities and projects.
- Assist in planning organizing and executing company events initiatives or team activities.
- Conduct research and provide summaries or reports as requested.
Relationship Management:
- Liaise with internal departments and external partners on behalf of the manager.
- Maintain strong relationships with stakeholders to ensure smooth communication and collaboration.
ProblemSolving and Support:
- Anticipate the manager s needs and provide proactive solutions to challenges.
- Handle confidential information with discretion and ensure sensitive matters are managed appropriately.
Qualifications:
Requirements
- Bachelor s degree in Business Administration Management or a related field (or equivalent experience).
- Proven experience as an executive or administrative assistant or in a similar role.
- Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook) and other office productivity tools.
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Ability to handle multiple tasks prioritize and meet deadlines in a fastpaced environment.
- High level of professionalism and discretion when handling confidential information.
- Strong interpersonal skills and a positive attitude.
Preferred Skills:
- Familiarity with project management tools and software.
- Experience in event planning and coordination.
- Knowledge of office management systems and procedures.
- Multilingual abilities are a plus.
