Job Description

Position Overview:
We are looking for a proactive and organized Manager Assistant to support our management team. The Manager Assistant will play a critical role in ensuring the smooth operation of daily activities managing schedules handling communications and providing administrative support. The ideal candidate should be resourceful detailoriented and capable of maintaining a high level of professionalism.


Key Responsibilities:

  1. Administrative Support:

    • Manage and organize the managers calendar including scheduling meetings appointments and travel arrangements.
    • Prepare and edit correspondence reports presentations and other documents as required.
    • Maintain and organize files records and documentation.
  2. Communication Management:

    • Serve as the first point of contact for the manager screening calls emails and messages.
    • Respond to inquiries and redirect them to the appropriate team members when necessary.
    • Draft and distribute internal and external communications on behalf of the manager.
  3. Meeting Coordination:

    • Organize and prepare materials for meetings ensuring agendas and minutes are documented.
    • Assist in coordinating with stakeholders to ensure timely and efficient meeting arrangements.
    • Follow up on action items and ensure deadlines are met.
  4. Task and Project Management:

    • Support the manager in tracking and managing tasks priorities and projects.
    • Assist in planning organizing and executing company events initiatives or team activities.
    • Conduct research and provide summaries or reports as requested.
  5. Relationship Management:

    • Liaise with internal departments and external partners on behalf of the manager.
    • Maintain strong relationships with stakeholders to ensure smooth communication and collaboration.
  6. ProblemSolving and Support:

    • Anticipate the manager s needs and provide proactive solutions to challenges.
    • Handle confidential information with discretion and ensure sensitive matters are managed appropriately.

Qualifications:


Requirements


  • Bachelor s degree in Business Administration Management or a related field (or equivalent experience).
  • Proven experience as an executive or administrative assistant or in a similar role.
  • Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook) and other office productivity tools.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Ability to handle multiple tasks prioritize and meet deadlines in a fastpaced environment.
  • High level of professionalism and discretion when handling confidential information.
  • Strong interpersonal skills and a positive attitude.


Preferred Skills:

  • Familiarity with project management tools and software.
  • Experience in event planning and coordination.
  • Knowledge of office management systems and procedures.
  • Multilingual abilities are a plus.
