Job Description

Job Overview:

The Office Administrative Assistant will support daytoday administrative tasks maintain office organization and assist various teams with scheduling documentation and communications. This role is ideal for someone with excellent organizational skills a proactive attitude and the ability to manage multiple tasks in a fastpaced environment.

KEY RESPONSIBILITIES:

  • Front Desk Management: Greet visitors answer phones and handle incoming and outgoing mail.
  • Scheduling and Calendar Management: Coordinate schedules appointments and meetings ensuring seamless time management for executives and team members.
  • Documentation and Record Keeping: Organize and maintain files documents and office records both physical and digital to support compliance and organizational efficiency.
  • Office Supplies and Inventory: Monitor and manage office supplies placing orders and maintaining stock levels as needed.
  • Support for Teams: Assist various teams with data entry documentation and minor research tasks as needed.
  • Communication and Correspondence: Prepare and send emails memos and announcements ensuring clear communication within the office.
  • General Office Organization: Keep the office area clean and organized manage meeting room bookings and support a positive office environment.

Requirements:

  • High School Diploma or equivalent; an Associates Degree or relevant certification is a plus.
  • 1 years of experience in an administrative or office assistant role.
  • Proficiency in Microsoft Office Suite (Word Excel Outlook) and familiarity with Google Workspace.
  • Strong organizational skills with attention to detail.
  • Excellent verbal and written communication skills.
