This is a remote position.
Our Admin Support team plays a crucial role in ensuring smooth operations and a positive experience for all our members and stakeholders.
PERFORMANCE OBJECTIVES:
Customer Communication & Lead Management:
Send targeted emails to leads with key information about the company.
Answer parent and player queries across email social media and phone providing a positive and informative experience.
Book and coordinate free trials for parents supplying information and answering questions with followup to encourage engagement.
Account & Financial Management:
Manage account details including processing cancellations updating bank information and monitoring debt collection.
Track outstanding payments following up to support healthy cash flow.
Scheduling & Bookings:
Coordinate party bookings and assist with scheduling ensuring smooth and accurate organisation of events.
Create and manage game draws and fixtures leveraging technical skills to ensure precision and clarity.
Inventory & Social Media Management:
Maintain uniform inventory tracking and replenishing stock as needed.
Contribute to social media engagement by helping manage inquiries and promoting a positive online community presence.
Business Outreach & Customer Service Calls:
Conduct cold calls to businesses to promote the company and explore partnership opportunities.
Provide exceptional customer service over phone calls addressing concerns and assisting with inquiries.
6. Managing coach and staff timetables and liaising with key stakeholders:
Designate primary communication tools (e.g. email) for updates and schedule changes.
Establish a protocol for urgent changes to ensure stakeholders are informed promptly.
Ensure all staff and stakeholders have access to the system for updates and realtime visibility.
Create timetables well in advance to give staff and stakeholders enough lead time.
Proven experience in an administrative customer service or support role.
Strong organisational skills with an ability to manage multiple tasks effectively.
Excellent written and verbal communication skills.
Customerfocused with a dedication to providing outstanding service.
Proficiency with social media platforms and experience handling inventory management is a plus.
Technical proficiency in scheduling tools with a willingness to learn draw and fixture creation.
Ability to work both independently and as part of a team in a dynamic environment.
