Vessel Operation Coordinator

1. Educational Background:

• Bachelors Degree in Maritime Studies Logistics Supply Chain Management Marine Engineering or a related field.
• Certifications in Project Management (e.g. PMP PRINCE2) or Operations Management are highly advantageous.
• Additional certifications related to vessel operations or maritime regulations (e.g. STCW SOLAS) would be beneficial.

2. Experience Requirements:

• 810 years of experience in vessel operations ideally in a role that involves significant exposure to vessel management port operations or cargo handling.
• Experience in outsourcing and remote operations management ideally within the maritime or logistics sector.
• Strong experience in communicating with diverse stakeholders including headquarters vessel operators ship masters and other key maritime roles.
• Previous experience in preparing Standard Operating Procedures (SOPs) process mapping and overseeing transactionlevel operational activities.
• Project management experience particularly related to vessel operations outsourcing or process improvements.
• Experience in mentoring and leading teams preferably in an outsourcing context.
• Knowledge of the entire operational cycle from prevessel arrival to postdeparture activities including freight calculations stowage factor calculations and bunker requirements.

3. Key Skills:

• Project Management: Ability to manage vessel operationsrelated projects including identifying areas for outsourcing developing project plans and ensuring timely delivery.
• Operational Knowledge: Strong understanding of maritime operations (voyage estimate preparation bunker procurement freight calculation damage handling etc.).
• Training & Development: Ability to prepare training materials and conduct training sessions for teams on vessel operations and related activities.
• Risk Management: Skilled in identifying risks or issues related to vessel operator delivery and raising these concerns with stakeholders while offering practical solutions.
• Process Improvement: Experience in using data to assess processes recommend improvements and ensure safe and smooth transitions when changes are implemented.
• Stakeholder Management: Strong interpersonal and communication skills particularly in managing interactions between technical (Digital Information Team) and operational (Vessel Operations) teams.
• Documentation & Reporting: Ability to prepare and maintain SOPs process maps and regular project updates for management.
• Leadership & Mentoring: Experience in building and mentoring teams particularly in an outsourcing or operations context.

4. Technical Knowledge:

• Working knowledge of vessel operations documentation including bills of lading cargo manifests and other essential documents required during loading and discharge.
• Familiarity with digital tools used in maritime logistics and vessel operations (e.g. ship management software ERP systems or port logistics platforms).
• Exposure to transactionlevel operational processes and ability to guide teams in handling these processes.

5. Soft Skills:

• Communication Skills: Strong verbal and written communication skills to bridge the gap between technical teams and operational stakeholders.
• ProblemSolving: Ability to proactively address potential risks in business delivery and provide quality solutions based on datadriven assessments.
• Attention to Detail: Ability to manage transactionlevel operations ensuring accuracy in calculations documentation and processes.
• Adaptability: Ability to handle changing priorities and effectively manage outsourcing operations remotely.

6. Other Requirements:

• Team Management: Experience in handling a team including recruitment training and performance management.
• Strategic Thinking: Ability to develop longterm plans for outsourcing activities including identifying which parts of vessel operations can be effectively outsourced.
• Willingness to Travel: Occasional travel may be required to meet with teams or stakeholders at different locations.

Required Skill Set

This profile seeks someone with a strong mix of vessel operations experience and project management capabilities who can act as a liaison between technical and operational teams manage outsourcing activities and mentor a growing team.
