Maintenance Administrator

Position Overview:
We are seeking a motivated and proactive Maintenance Administrator to join our Clients dynamic maintenance team. This is an excellent opportunity for a young computerliterate individual with strong communication skills the ability to prioritize tasks and the initiative to handle multiple responsibilities in a fastpaced environment. The ideal candidate will play a key role in ensuring the smooth operation of our maintenance department by supporting the team with data entry scheduling ordering and filing. Key Responsibilities:
- Data Capturing: Accurately input and update maintenancerelated data including work orders job cards and spare parts inventory.
- Obtaining Quotes and Ordering Parts/Equipment: Source and obtain quotes for required parts and equipment ensuring that all purchases are in line with company procedures and budgets. Place orders and follow up to ensure timely delivery.
- Booking and Scheduling Job Cards: Organize and schedule job cards for maintenance tasks ensuring that all relevant information is captured and accessible for the team.
- Planned Preventative Maintenance (PPM): Assist in planning and scheduling planned preventative maintenance activities to minimize equipment downtime and ensure efficient operations.
- Filing and Document Management: Maintain organized filing systems for maintenance records work orders and equipment manuals ensuring that all files are uptodate and easily accessible.
- Spare Parts Management: Monitor and maintain adequate levels of spare parts inventory. Ensure that stock is ordered on time to avoid shortages and delays in maintenance activities.
- Administrative Support: Provide general administrative support to the maintenance team including handling communications scheduling meetings and coordinating with suppliers and vendors.
Skills and Qualifications:
- Computer Literacy: Proficient in Microsoft Office Suite (Excel Word Outlook) with the ability to learn new software tools quickly.
- Strong Communication Skills: Excellent written and verbal communication skills to interact effectively with colleagues vendors and other departments.
- Organizational Skills: Ability to prioritize tasks manage multiple activities simultaneously and maintain attention to detail.
- Initiative: Selfmotivated with the ability to take initiative anticipate needs and work independently.
- Team Player: Willingness to collaborate with team members and contribute to the overall efficiency of the department.
- Attention to Detail: High level of accuracy in data entry documentation and scheduling tasks.
Education and Experience:
- High school diploma or equivalent required. Further qualifications in administration or business would be an advantage.
- Previous administrative experience preferably in a maintenance or similar environment would be beneficial but not essential.
