Position : Operations Assistant
Work Hours (Client) : 8 am 5 am CST
Pay Range : $1000$1500/month (depending on interview assessment and client's approval) Please take note that pay will be given in USD
Duties and Responsibilities:
As an Operations Assistant you will play an essential role in supporting various departments. This role is highly flexible with responsibilities that range from managing daily checklists to stepping in where support is needed across the company. You’ll handle everything from setting up Google Ads accounts and tracking lead metrics to assisting with blog posts and Google My Business (GMB) updates.
This role is ideal for someone who thrives in a dynamic environment is eager to learn and is comfortable wearing multiple hats to support team success. While there are set daily tasks you will also be ready to take on special projects help troubleshoot issues and contribute to new initiatives as the company grows.
Key Responsibilities
Flexible Operational Support
Adapt to the team’s daily needs providing support across different areas such as marketing client management and content coordination.
Assist with various onetime and ongoing projects including ad hoc research data entry client reporting and internal communications.
Step in to cover tasks or projects during highdemand periods ensuring that all team workflows continue seamlessly.
Google Ads and Campaign Setup
Assist in setting up Google Ads accounts for new clients following Alpha’s best practices to ensure precise targeting ad copy quality and budget accuracy.
Conduct daily updates to optimize campaign elements such as adding negative keywords to improve cost efficiency.
Review and flag any discrepancies unusual performance or potential areas of improvement for the Ad Operations team.
Data Tracking and Reporting
Use Google Sheets Monday.com and other tools to monitor key performance indicators (KPIs) across client accounts tracking everything from clicks to conversions.
Prepare monthly or weekly reports for the internal team to ensure full visibility on campaign performance lead tracking and content engagement.
Actively review data for accuracy address discrepancies promptly and notify appropriate team members of any actionable insights.
Content Coordination and Posting
Assist with content scheduling including blog posts and Google My Business updates for client accounts.
Coordinate with the content and SEO teams to ensure timely publishing with an emphasis on SEOfriendly copy keywords and relevance.
Monitor the performance of content pieces gathering data to inform future content strategies for better reach and engagement.
Standard Operating Procedures (SOPs) and Documentation
Develop and continuously update SOPs for routine and ad hoc tasks ensuring that processes remain clear streamlined and accessible to all team members.
Document any new or updated processes for Google Ads setup GMB management or lead tracking to maintain an efficient knowledge base for the team.
Regularly review SOPs for relevance incorporating feedback from team members and management to make improvements as needed.
Quality Control and Daily Checklists
Perform daily checks on all tasks from ad account updates to content postings ensuring that every detail meets Alpha’s high standards of quality.
Maintain organized daily checklists to track task completion with a keen eye for any inconsistencies or areas requiring additional focus.
Proactively communicate any issues or delays with the team ensuring a seamless workflow and quick resolution of potential bottlenecks.
Minimum Requirements:
Versatile Operations Experience: Minimum of 12 years in an administrative operations or support role preferably in a highpaced resultsoriented environment.
Technical Proficiency: Competence with Google Workspace (Google Sheets Docs Calendar) and project management tools such as Monday.com or Asana.
Flexible Task Management: Proven ability to handle multiple types of tasks adapt to new responsibilities and take initiative on diverse projects.
Zapier Experience: Familiarity with Zapier for task automation and integration between different platforms.
Attention to Detail: Consistently delivers highquality work with an eye for accuracy particularly in data tracking ad settings and content review.
Independent Problem Solver: Comfortable troubleshooting issues and seeking solutions independently.
