Job Title: Facilities Virtual Coordinator

Role Overview:
The Facilities Virtual Coordinator is responsible for overseeing facilities maintenance and compliance through virtual coordination. This role involves managing work orders handling notices of violations (NOVs) mail notices and ensuring timely completion of facilitiesrelated tasks. The coordinator will work closely with vendors store managers and internal teams to ensure compliance with regulations and resolve maintenance issues efficiently.
Key Responsibilities
Monitor and follow up on work orders related to fire alarms extinguishers kitchen hoods backflow systems and septic/grease systems.
Dispatch and track work orders for these systems.
Process invoices and manage capital expenditures (CapEx) work orders.
Defer nonurgent work orders where applicable and address unsatisfactory orders.
Create and manage work orders related to NOVs.
Work with store management and the District Manager (DMM) to resolve NOVs.
Update the facilities team on NOV statuses using a tracker.
Review and manage mail and email notices related to facilities.
Take action on notices such as scheduling fire inspections or backflow tests.
Track and ensure completion of compliance items like inspections and testing.
Manage AFE (Approval for Expenditure) requests for capital expenditures over $1000.
Track key metrics including work order reignment cancellations deferrals and NOVs received.
Communicate with vendors store managers and internal teams.
Manage work order priorities based on urgency.
Maintain detailed records of all work orders compliance tasks and communications.
Qualifications
High school diploma or equivalent; certification in facilities management is a plus.
Minimum of 2 years in facilities management or maintenance coordination.
Proficiency in work order management systems (e.g. ServiceChannel) email and tracking tools.
Excellent verbal and written communication with the ability to work effectively with various stakeholders.
Strong attention to detail and ability to manage multiple tasks and priorities.
Ability to trouble issues and follow up with vendors to resolve problems.
Capable of working in a remote environment and adjusting to changing workloads.
