Job Role : Assist Executive Administration and HR work as mentioned below.
Executive Assistant :
- Manage and maintain executives calendars ensuring optimal scheduling of meetings appointments and events.
- Coordinate with internal and external stakeholders to schedule and confirm meetings.
- Plan and organize executive meetings including board meetings leadership team meetings and other highlevel gatherings.
- Prepare and distribute meeting agendas materials and minutes.
- Ensure meeting rooms are booked and equipped with necessary technology and supplies.
- Following up on tasks and ensuring information flow.
- Mediate and resolve minor conflicts or misunderstandings between departments and team members. team Alignment.
- Oversee the organization and maintenance of executive office files and records.
- Coordinate office activities and operations to ensure efficiency and compliance with company policies.
- Preparing Visa Documents Handling all Travel Arrangement
- Reply Letters/Forwarding Letter and arrangement of documentation required
Admin:
- Manage day to day administrative tasks Housekeeping and facilities and ensure Office infrastructure
- Monitor inventory of office supplies and the purchasing of new material
- Ensure the smooth and adequate flow of information within the company to facilitate other business operations
- Manage Pantry services/arrangements (Coffee Machine Up & running snacks etc).
- Organize and supervise other office activities (recycling renovations event planning celebrations etc.)
- Conduct fire drill or any other trainings for associates/House Keeping staff as and when required.
- Building Management System (Access Control CCTV & System Operations)
- Maintain and update statutory compliance reports.
- Manage Travel Stay and Cab Management (Direct) for associates
- supervise inform if coaching and training is required for staff at Junior and entry level
- Maintenance of Petty Cash.
HR
- Arranging Employee Engagement Activities.
- Arranging Health Care Camps on timetotime basis
- Handling employee grievances.
- Establish the process flow for the onboarding and exit of factory workers and employees
- Implementing new Rules and Regulations which comes from Management within the workers
Requirements
Candidate Requirements :
- Experience in Executive assistant Administration and HR work as mentioned in Job description.
- Professionally and personally stable Female candidate
- Graduate with strong communication skills both written and verbal in Hindi and English.
- Proven experience as an executive assistant or other relevant administrative support experience.
- Work experience as an Executive Assistant Personal Assistant or similar role
- Discretion confidentiality and Honest
- Indepth understanding of entire MS Office suite.
- Ability to organize a daily workload by priorities.
- Must be able to meet deadlines in a fastpaced quickly changing environment.
- A proactive approach to problemsolving with strong decisionmaking skills.
- Professional level verbal and written communications skills.
