- Clean the office for a sanitary workspace
- Planning organizing monitoring and executing projects and events from start to finish.
- Manage office supplies and place orders for restocking e.g. stationery water etc. for main office and site offices.
- Maintaining and improving relationships with clients liaising and coordinating with the sales team on a timely basis and consistently/regularly updating the sales database.
- Collating different reports from the different business units and sites and presenting them monthly.
- Answers incoming telephone calls in a clear professional manner and direct callers to appropriate agency personnel or takes message and gives it to the appropriate person.
- Greet & receive clients and visitors when they arrive at office and direct them accordingly
- Ensures that a friendly and attentive approach is being practiced with an environment that projects a professional polished and service oriented image to all clients
- Manage emails letters packages phone calls and other forms of correspondence
- Take minutes at meetings and share them with the team afterwards
- Support bookkeeping invoicing and budgeting procedures for the company
- Create and update databases and records for financial information personnel and other data
- Track and replace all office supplies as needed to avoid interruptions in office procedures
- Submit reports and prepare proposals and presentations as needed
- Assist colleagues whenever there is an opportunity to do so
- Manage write review & track rental/sales contracts reference checks & related documentation.
- Manage key sales & rental related activities processes and experiences including development viewing visits site office sales and all other onsite and offsite salesrelated activities and events.
- Use online profiling tools to enhance lead generation contacting followups and conversion.
- Provide input in sales and rental performance and tracking management system including weekly and monthly target updates current leads and remedies for shortfalls in targets
- Support improvement and performance of service team and operations by identifying gaps and/or need for new talent or role changes.
- Deepen relationships & network with all potential sales and rental channels providers developers clients agents institutions and partners to convert deals effectively and ensure regular referrals
Requirements
- Minimum two (2) years working experience including at least one year of administrative experience
- First Degree or Diploma Certificates from an accredited University
- Excellent customerfacing skills including the willingness to listen understand and engage the customer
- Excellent English Communication skills oral and written
- Typing speed of 40 WPM and Proficiency with Microsoft Office suite of applications
- Basic quantitative business process management financial management and analytical skills
- Excellent organizational and time management skills
- Experience with strategic sales planning reporting and generation of leads
- Ability to manage hospitality staff and provide endtoend service needs of all clients buyers sellers and tenants
