The General Virtual Assistant (VA) provides comprehensive administrative support to assist in the daytoday operations of the business. The VA is responsible for managing a variety of tasks remotely including data entry calendar management and billing support. In addition to regular duties the VA will handle ad hoc tasks as needed to ensure smooth business operations. This role requires excellent organizational skills attention to detail and the ability to multitask in a fastpaced environment. The ideal candidate will work efficiently and independently while adapting to evolving tasks and responsibilities.

Key Responsibilities:
- Administrative Support: Perform general administrative tasks including organizing files responding to emails and handling correspondence.
- Billing and Data Entry: Accurately input and manage billing information process invoices and maintain billing records. Handle data entry tasks with a high level of attention to detail.
- Calendar Management: Schedule and manage appointments meetings and events across multiple calendars. Ensure that all scheduling conflicts are addressed and that reminders are set for upcoming events.
- Email Management: Monitor and manage inboxes respond to general inquiries and escalate issues as necessary.
- Document Preparation: Create edit and format various types of business documents reports presentations and spreadsheets as required.
- Task Prioritization: Assist in prioritizing daily tasks to ensure timely completion of critical activities.
- Customer Support: Respond to client inquiries provide support and follow up on outstanding requests as needed.
- Project Coordination: Assist in the coordination of various projects ensuring deadlines are met and tasks are tracked.
- File and Document Management: Maintain and organize digital files and documents ensuring they are easily accessible and uptodate.
- Ad Hoc Tasks: Handle miscellaneous and urgent tasks that may arise unexpectedly providing support to different departments or functions when necessary.
Requirements & Qualifications:
- Proven experience as a Virtual Assistant or relevant administrative role.
- Strong proficiency in Microsoft Office (Word Excel PowerPoint) and Google Suite (Docs Sheets Drive).
- Excellent written and verbal communication skills (with little to no accent).
- Strong organizational and timemanagement skills.
- Ability to handle confidential information with integrity and discretion.
- Attention to detail and accuracy in completing tasks.
- Capable of managing multiple tasks and priorities in a fastpaced environment.
- Proficiency in calendar management and scheduling.
- Experience with billing systems and data entry.
- Familiarity with task management software (e.g. Asana Trello) and virtual meeting platforms (e.g. Zoom Microsoft Teams).
- Flexibility and adaptability to handle ad hoc tasks efficiently.
- Amenable to working Monday Friday 9 AM 5:30 PM Pacific Time (US/Canada)
Preferred Qualifications:
- Previous experience working remotely.
- Familiarity with CRM systems and project management software.
- Experience in customer support or clientfacing roles.
- Knowledge of online billing software (e.g. QuickBooks FreshBooks).
- Ability to manage multiple executive calendars.
