We are seeking a highly skilled Executive Assistant to support our CEO and ensure seamless operations.
Key Responsibilities:
- Travel Management: Coordinate all aspects of domestic and international travel including itineraries accommodations and logistics.
- Scheduling & Calendar Management: Manage and maintain an organized calendar for the CEO prioritizing appointments and commitments.
- Inbox Management: Monitor and manage emails in realtime responding promptly and filtering communications as necessary.
- Administrative Support: Handle a variety of professional and personal administrative tasks and appointments to enhance productivity.
- Meeting Coordination: Record meeting minutes prepare agendas and ensure all necessary materials are available.
- Project Assistance: Support miscellaneous special projects or duties as required showcasing versatility and adaptability.
- Event Planning: Plan and execute meetings and events ensuring all details are meticulously arranged.
- Document Preparation: Prepare and review documents reports presentations and spreadsheets maintaining high standards of accuracy and quality.
- Data Management: Organize and analyze data producing insights and reports as needed.
- Research: Conduct basic research to support decisionmaking and project initiatives.
- Social Media Management: Handle social media postings and related tasks.
- Office Management: Oversee office tasks to ensure a productive working environment.
- Basic Accounting/Bookkeeping: Assist with basic accounting tasks maintaining financial records accurately.
- Project Management: Support basic project management tasks ensuring timelines and deliverables are met.
Qualifications:
- Minimum of 5 years of experience in an executive support role.
- Proficiency in Microsoft Office Suite and Google Workspace.
- Excellent communication skills both spoken and written (C1 level English proficiency required).
- Strong attention to detail and exceptional organizational skills.
- Ability to meet deadlines and work independently with minimal supervision.
- Discretion and the ability to handle confidential information with integrity.
- Problemsolving mindset with a knack for nimbleness in fastpaced environments.
- Bilingual candidates (English/Spanish) are preferred particularly for LATAM applicants.
- Travel visa (preferred but not required).
