The Facilities Coordinator will be responsible for managing various facilities maintenance and compliance tasks remotely. This role involves overseeing work orders managing notices of violations and ensuring timely completion of critical maintenance activities.
Key Responsibilities:
Work Order Management:
Monitor and follow up on work orders for fire alarms fire extinguishers and other systems.
Dispatch and track work orders.
Review and process invoices.
Identify and defer nonurgent work orders.
Address unsatisfactory work orders and follow up with vendors.
Notice of Violations (NOVs):
Manage and create work orders related to NOVs.
Collaborate with store management to resolve NOV issues.
Track and update NOV status.
Mail and Notices Handling:
Review and manage mail and notice emails.
Identify and action required tasks based on notices.
Compliance and Documentation:
Track and ensure completion of compliance items.
Manage AFE requests for capital expenditures.
Metrics Tracking:
Track key metrics such as work order reassignment cancellations and NOVs.
General Coordination:
Communicate effectively with vendors store managers and internal teams.
Prioritize tasks and manage workloads.
Maintain detailed records of work orders and compliance activities.
Qualifications:
High school diploma or equivalent; additional certification or training in facilities management is a plus.
Minimum of 2 years of experience in facilities management or a related field.
Proficiency in work order management systems and other relevant tools.
Excellent communication and organizational skills.
Strong problemsolving and analytical skills.
Ability to work independently and remotely.
