Job Description

This is a remote position.

POSITION SUMMARY:

The Internal Bookkeeper is responsible for maintaining the financial records of the company by accurately recording the daytoday financial transactions. The role includes reconciling accounts managing invoices processing payments and ensuring compliance with financial regulations. The Internal Bookkeeper plays a crucial part in the financial health of the organisation by ensuring accuracy and transparency in all financial matters.

The successful candidate must have strong verbal and written communication skills and demonstrate effective interaction abilities. They should be resourceful capable of finding solutions independently and able to anticipate and proactively address challenges. Trustworthiness in handling sensitive information and maintaining confidentiality is essential. The candidate must consistently deliver highquality work exhibit exceptional organizational skills and effectively manage multiple tasks with accuracy.

We are a Brisbanebased construction plumbing company with over 20 years of experience in the local industry. We specialise in Commercial & Industrial plumbing new builds and refits and are proud to have worked with some of the best builders in Brisbane Logan and the Gold Coast.


KEY RESPONSIBILITIES:

  • Invoicing

    • Enter receivables invoices into the system accurately.

    • Enter payables receipts and invoices into Xero accurately and into Fergus (job management software) as appropriate.

    • Handle endofmonth (EOM) invoicing processes to ensure timely billing including any mandatory contractual documentation.

  • Bookkeeping

    • Reconcile accounts weekly to ensure accuracy and completeness.

    • Perform general bookkeeping duties to maintain financial records including electronic filing.

  • Monthly Job Summaries

    • Prepare and deliver comprehensive job summaries on a monthly basis.

  • Wages and Payments

    • Prepare wage information and submit for final approval.

    • Process and manage payments for bills and wages efficiently and in a timely fashion to ensure payment within trading terms and weekly pay cycles.

  • Spreadsheet Management

    • Maintain and track spreadsheets for products sold and associated warranties. Progressively prepare Operational Handover Manuals for contracted jobs.

    • Ensure all spreadsheets are uptodate and accurately reflect current data.

  • Operations Manual

    • Assist in the development and maintenance of the operations manual. Project Operations Handover Manual.

Assist in the development of the Spanner Plumbing Operations Manual and Handbook.

Requirements

SKILLS:

  • Proven experience in bookkeeping and invoicing preferred.

  • Exceptional attention to detail and strong organizational skills.

  • Proficiency in accounting software and spreadsheet applications (e.g. Microsoft Excel).

  • Strong verbal and written communication skills.

  • Resourceful and able to find solutions independently.

  • Ability to anticipate challenges and proactively address them.

  • Trustworthy in handling information and maintaining confidentiality.

  • Consistent delivery of highquality work.

  • Ability to manage multiple tasks effectively and meet deadlines.



PREVIOUS EXPERIENCE:

  • At least 3 years experience in Bookkeeping or accounting;

  • Experience using Xero
